The Enrollment Manager is a part-time position, 24 hours per week with a potential to grow to full-time. It is an in-office/ in-person position and the employee has some flexibility in creating their ideal work schedule. General Enrollment Manager Roles & ResponsibilitiesPrimary Client Communications + EngagementAnswer phone calls and chats to guide families in the enrollment processReply to daily email inquiries and "Contact Us" formsManage participant registration and formsMaintain friendly, positive attitudeBuild and maintain relationships with program chaperones and familiesEnrollment SupportOversee enrollment process and general client support, including sending follow up emails to group chaperones, parents, and participantsCreate and manage systems to process forms and travel documents and follow-up for outstanding paperwork and traveler detailsCollate and make weekly reports to the Director of Enrollment and Director of Custom Group Travel. Inventory + Mailings + EmailsManage, organize, and distribute pre-trip materials to families of travelers including: the "Final Trip Details"; a pre-trip package including t-shirt and other GW materials, and final reminder emailsManage post-trip communication families of travelers including: photos, service certificates, and thank you notesManage, organize, and distribute pre-materials to Field Staff including: digital Leader Folders, first aid kits, doc journals, program materials, etc. Create process and manage tracking or returned materialsCreate and manage efficient systems to execute major physical mailings on a quarterly basis. Marketing & OutreachAssist with marketing projects and recruitment with the Director of Marketing and social media team. Support Global Works mission and vision and commitment to meaningful, fun, and safe travel programs for high school students and custom groups.Office Processes and SystemsIn addition to this role's responsibilities, all Global Works team members are expected to contribute to and participate in organizational priorities including bi-annual staff training, monthly community meetings with field staff, and weekly office team meetings. General support of organizational and office logistics and systems; this is a full team, shared responsibility. Qualifications & ExperienceTo be successful in this role, the Enrollment Manager will have the ability to guide and support School Group Travel (SGT) and Teen Summer Trip (TST) travelers and their families from the time that they enroll in Global Works program through the day that they depart for their trip. They will be responsible for collecting forms and information, collating, and distributing information to field staff in a cohesive, efficient, timely, and caring manner. Specifically a qualified application will have:Ability to multitask and work well under pressure.Excellent communication skills (written and spoken) with ability to actively listen and support the needs of our participants and their parents/ guardians/ mentors/ group chaperones. A strong project management background and the ability to learn and grow An ability to prioritize, meet deadlines, and manage multiple projects with limited oversight. The ability to work with a high degree of independence and use discretion and independent judgment to overcome obstacles and implement solutions. Have strong interpersonal intelligence, the ability to cultivate relationships with participants and their parents/ guardians/ mentors/ group chaperones across different social identities. Competency with a variety of technology platforms including: Have experience with Google workspace, Zoom, HubSpot, Adobe, Canva, and database platforms.
