About HACIA: Founded in 1979 as a non-profit 501 (c) (6) organization, the Hispanic American Construction Industry Association (HACIA) is a construction advocacy, training, and membership organization. With over 300 members, HACIA provides a range of technical and supportive services to assist minority, women, veteran, and disadvantaged business enterprises (M/W/V/DBE) in addition to workforce development training in the construction and professional services industries. HACIA's mission focuses on ensuring the equitable participation of its members and inclusion of diverse business practices in the construction industry, while also promoting growth, quality of work, professionalism, and integrity.Position Summary: The Senior Programs Coordinator will provide project management support for HACIA's portfolio of both Business Capacity and Workforce Development grant-funded training and/or consulting agreements. Senior Programs Coordinator location will be based out of HACIA's Chicago office with frequent travel to various training facilities. This position reports to the Sustainability Programs Manager and assists the Programs Team in fulfilling HACIA's contractual obligations, including program site visits; coordinating outreach and recruitment activities; communicating with stakeholders, partners and participants; developing reports, data tracking, and other compliance related tasks. This self-starter will provide additional administrative support as needed or directed.Essential Duties and Responsibilities include the following. Other duties may be assigned:• In collaboration with Program Managers, identify key partners in communities HACIA serves, educational institutions, employment agencies, potential employers, small business development centers, media, and internet sites with the goal of growing the program pipeline.• Execute trainings and workshops with direction and oversight from Deputy Programs Director and Program Managers. Execution includes recruitment, enrollment, course scheduling, contract management and compliance, and data tracking.• In coordination with the Program Managers, schedule and assist with conducting applicant interviews and intake for both Workforce Development and Business Capacity programs, along with tracking the participation and progress of program enrollees.• Assist Program Managers in gathering and preparing required documents and information for reports and invoice submittals as detailed in the agreement between HACIA and the training partner.• Build and maintain effective communication with program participants and partners, providing assistance as needed.• Identify opportunities for cross-collaboration between Workforce Development and Business Capacity teams.• Assist Program Managers with contract management (vendors, educational partners, etc.), which includes overseeing the timely delivery of services.• In collaboration with Program Managers, develop and maintain key relationships with stakeholders such as HACIA Members, the community at large and other related organizations.• Maintain records and track progress toward program goals and outcomes while working in conjunction with the Data Analyst to ensure data accuracy and timely entry into Salesforce• Keep abreast of construction industry trends in both Business Capacity and Workforce Development by proactively researching and reporting findings to the Programs Team.• Attend outreach, recruitment, and HACIA organized events as needed, some of which may be held after hours.• Perform other duties as assigned.Competencies - To perform the job successfully, an individual should demonstrate the following: • Project Management: Communicates changes and progress.
