Property ManagerPalo Alto, CASalary: 105-130K plus bonus (up to 10%, based on performance)SUMMARY:This position is responsible for all management aspects of the assigned properties, including operations, financial, and tenant relations. The Property Manager is charged with supporting management's efforts in the day-to-day implementation of policies, procedures, and programs that will ensure a well-managed, well-maintained building, placing maximum emphasis on positive responses to the concerns and needs of the tenants, environmental health and safety, and quality programs in coordination and conjunction with the Owner's goals and objectivesESSENTIAL JOB FUNCTIONS AND SPECIFIC RESPONSIBILITIES REQUIREMENTS:Full-time positionActive CA Real Estate license4+ years of directly relevant Commercial Real Estate Property Management experienceStrong working knowledge of MS Word, Excel, Outlook, and PowerPointFamiliarity with maintenance accounting and/or budgeting software (Kardin)Effectively prioritize, multi-task and time manageExcellent people skillsStrong working knowledge of general office equipment (copiers, scanners)Ability to effectively communicate both orally and in writing with peers, managers, and clientsDependable and flexible as well as possessing the ability to maintain a high level of confidentialityProactive, initiate follow-throughWork well in teamsParticipate in departmental projects as requiredEnsure status report information is correct and currentWeekend on-call rotation (one week as backup; following week on call)Know all properties and understand all emergency proceduresRespond to emergencies as requiredProperty Maintenance:Regular inspections of properties to ensure standard high-quality appearance and provide recommendations for maintenance / upgrades as necessaryWork with the Property Administrator in preparing/requesting and maintaining service contracts, purchase orders, and work ordersPre-qualify contractors, prepare bid packages, review, and award to contractors, draw up contracts, obtain certificates, oversee work, draft final punch list, obtain warranty paperwork if applicableCoordinate refurbishment premises for leasingMaintain all vacant premises for marketingTenant Relations:Attend the kick-off meetings and present move-in materialsCoordinate tenant move-in processVisit tenants post-move-in to ensure tenant satisfactionCoordinate with the construction of Tenant Improvements when requestedEstablish a relationship as the primary contact for tenantsRespond quickly to each tenant request with the timeline for completionTenant visitation at a minimum of two times per yearReview compliance of tenant certificates of insurance (monthly or quarterly, depending on owner's/client's requirements)Review compliance of tenant hazmat programCo-review Tenant requests for additional construction/post notice of non-responsibilityConduct tenant closure inspection with the TenantEnsure completion of all tenant move-out/restoration responsibilities. Complete final accounting in conjunction with the Property AccountantFinancial:Ensure timely receipt of all rent paymentsAssess late charges as needed and/or required by ownershipProcess three-day notices when requiredReview and approve on a monthly basis all rent rolls, rent-up, and tenant statementsYearly (or as required) budget preparationBudget re-forecasting as required by ownershipReview and approval of invoices up to the approved limitMonitor operating expenses versus budgetPreparation of monthly financial reporting packages for review by the Vice PresidentCAM reconciliation analysis and reviewRespond to owners and asset managers when requestedPHYSICAL REQUIREMENTS INCLUDE:Ability to lift and carry up to 25 poundsAbility to stoop, crouch, bend, kneel, climb, and reach with hands and armsAbility to climb stairs frequently throughout the work dayAble to sit for extended periods of timeMust be able to hear, talk, and see well enough to communicate with coworkers and customers via phone, email, or in personMust have manual dexterity to type, file, and operate common office equipment including phones, fax machines, copiers, computers, and printers, phones, fax machines, copiers, computers, and printersWe are an equal opportunity employer, and we are an organization that values diversity.
