Position SummaryAssists in general administration and all related functions for the property. Responsible for conducting rental inquiries. Acts as a liaison between manager and maintenance department by coordinating resident requested service. Answers phone, greets visitors and channels inquiries to appropriate staff members. Must have working knowledge of personnel, accounting, leasing, maintenance, computers, marketing and resident retention policies and procedures.Responsibilities include the following. Other duties may be assigned.Answers phone, greets visitors with a smile, schedules appointments, and directs inquiries to appropriate staff memberIntroduce yourself and other team members in the immediate areaCompletes survey/welcome card for each prospectConducts rental inquiries and tours of propertyFollows up with prospect: thank you cards, phone calls, and any other requested or needed informationEnters application and lease into computer systemFollows up with residents regarding quality and promptness of service with either a phone call or written questionnaire. Relays feedback to Property ManagerReceives service request from residents and records in appropriate record bookResponds to internet inquiries promptlyHelps with monthly newsletter by writing and typing articlesPrepare and maintain resident filesRecords traffic and rental activity promptly and accuratelyParticipates in resident activities, open houses and other events to promote communityMakes coffee, bakes cookies, and other refreshments for residents and prospectsPuts balloons, promotional signs, etc. on propertyCompletes and updates move-in, move-out and rental packetsPerforms general administrative duties such as logging rent, filing, typing, mailing, ordering supplies, and resident termination callsPerforms monthly market surveys and shops competitionFollows Fair Housing regulationsRequired to work weekendsCompletes all necessary paperwork efficiently and timely to process applicationProcess applications within 48 hours, obtain property manager approval, and notify applicants of resultsPrepare lease packagesComplete move in package, test keys and inspect apartments prior to move inConduct new resident orientationParticipate in revenue collectionsImplement and participate in social functions and resident appreciation daysParticipate in community outreach activitiesPerforms all other duties as requested by the Property ManagerFlexibility in work schedule as determined by regional management may be required periodically to insure adequate staffing in leasing officeAchieve 85% or higher on all shops.QualificationsTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
