Position SummaryThe position is accountable for leading the Operations teams of the company, including customer service, warehouse operations, cleanroom packaging team, purchasing, and IT/facility infrastructure. This position is responsible for ensuring compliance with the company's ISO 9001:2105 Quality System and Standard Operating Procedures. This position reports directly to the CEO and will play a critical role in developing and implementing key strategic projects, such as advanced inventory planning capabilities, customer service tools, and facility enhancements and maintenance.Responsibilities include:Customer ServiceLead and develop team consisting of Supervisor and 4 Customer Service RepresentativesEnsure customer service level is at or above 97%Assess opportunities to improve team efficiency through process and technology enhancementsMaintain service level reporting, and improve tracking on customer backorder levelsEnsure team is properly staffed to support company growth targetsPurchasing Manage one senior inventory plannerUtilize our forecasting tool and reporting to assist decision making process to reduce inventory turnsPartner with VP of Finance to ensure appropriate inventory stocking strategiesImplement process to proactively manage inventory with expiration datesOperations and LogisticsDrive efficiency and productivity initiatives to support company growth objectives, deliver higher service, and improve costImplement production planning processes for cleanroom production teams. Accountable for safe, effective, and adequate finished good inventory levels in line with forecasted demandDevelop a process for growth in our BBS product line that includes staffing our BBS cleanroom, production management, and component purchasingLead team consisting of Warehouse/Inventory Manager, 4 Warehouse Associates, 10 Cleanroom Packaging Associates, and variable levels of temporary employeesMaintain reporting on warehouse capacity, develop metrics and tracking capabilities to assess warehouse labor needs, efficiency, and qualityEnsure adherence to company Standard Operating Procedures, customer shipping requirements, and warehouse processing policiesProperly staff warehouse and cleanroom packaging teams and develop a plan to support company growth targetsCoordinate facility maintenance needs and requirementsSupport and coordinate IT enhancement projectsQuality ManagementAs head of Operations, ensure the company's quality system and standard operating procedures are executed and adhered toPeriodically review standard operating procedures, and ensure staff is properly trainedParticipate in customer audits and work closely with our Quality Manager to ensure we are continuously audit-readyPartner with the lead Engineer of BBS to ensure tubing assemblies and delivery dates meet customers' quality expectationQualificationsBachelor's Degree in Operations Management, Supply Chain, or similarA minimum of 7 years of progressive operations management experienceProfessional experience in Distribution or Manufacturing Organization, Pharma or Healthcare industry is a plusProficiency with Sage ERP systems, warehouse management systems, and MS Office (Excel, Word, PowerPoint) is highly desiredExposure to ISO 9001:2015 Quality Systems/Processes and in-process improvement is desiredSkills/Abilities/CompetenciesInitiative - comfortable acting with a sense of urgency, willing to challenge others when appropriateIntegrity - unquestionable moral character with high integrityCommunication - excellent communication (written and verbal) and interpersonal skillsRelationship Building - record of establishing and maintaining professional working relationships with customers, co-workers, sales reps, vendors, investors, etc.Problem Solving & Decision Making - ability to identify problems, collect/analyze financial data, and willing to make sound business decisions after analysisCustomer Focus - ensures processes and team are oriented around customer needs and commitmentsResults Orientation & Business Thinking - focused on outcomes with consideration for integrated business processesDrive & Energy - ability to initiate and conduct multiple projects simultaneously, independently and in a supportive team environmentAdaptability - the ability to adjust to new conditions based on company initiatives and customer needsProcess Improvement - focus on details, excellent follow-up/follow throughOrganizing & Planning - knows how to get things done in a thoughtful, planful and orderly manner
