Texas based client. The role involves day-to-day tasks such as event planning, communication with stakeholders, providing exceptional customer service, managing events, and engaging in sales activities. This contract position requires both remote work and regular on-site presence for events in the N. Texas area.Qualifications2+ years experience in event planning and/or non-profit association managementStrong Administrative skills (takes pride in the tasks)Excellent Communication and Customer Service abilitiesHighly organized and detail-orientedKnowledge of the events industry trends and best practicesExperience with Chapter Administration is a plusStrong proficiency in QuickBooks, Microsoft Office Suite, Google Workspace, Social media platformsAbility to work independently and manage multiple prioritiesMust have reliable transportation for event attendanceBased in the North Texas regionKey ResponsibilitiesAdministrative ManagementMaintain client operations, including managing communications, records, and documentationRespond to inquiries via email, phone, and voicemail within 24 hoursMaintain master calendar of chapter eventsManage vendor relationships and contractsFinancial AdministrationProcess invoices, payments, and financial transactionsMaintain QuickBooks records and prepare monthly financial reportsAssist with budget preparation and monitoringCoordinate with bookkeeper and accountant for financial reporting and tax filingsEvent ManagementProvide on-site management for all client networking events, including:Registration desk staffingName badge preparation and distributionVenue coordinationAudio/visual setup oversightVendor managementHandle event promotion, registration, and attendee communicationsCommunications and WebsiteCoordinate social media presence across platforms (LinkedIn, Instagram, TikTok)Create and distribute event promotional materials and newslettersMember and Sponsor RelationsMaintain sponsor database and ensure benefit deliveryAssist with annual membership surveys and sponsor campaignsTime Commitment and LocationAverage 30-40 hours per week, varying with event scheduleRemote work with required on-site presence for Monthly Board meetings, all chapter events and programsContract TermsIndependent contractor position (at-will engagement)Either party may terminate the engagement at any timeContractor responsible for own taxes, insurance, and business expensesNo benefits providedWork schedule and priorities to be coordinated with Chapter leadershipHow to ApplyPlease submit:Resume to ali@Cover letterReferences from relevant rolesEqual Opportunity Engagement: We provide equal opportunities to all qualified contractors and do not discriminate on the basis of race, color, religion, gender, sexual orientation, national origin, disability, age, or any other protected characteristic.
