Summary of position: (Position Description)Under the supervision of the Health Service Administrator, the Tour Coordinator (TC) is responsible for managing and coordinating assigned sub-unit operations and administration. The Tour Coordinator is a vital part of this, providing essential support for clinic operations and administrative oversight across CHS sites. The TC's duties include process monitoring and direct handling of department-specific requests, such as telephonic and email requests, daily operational coordination tasks, and preparing operational reports.Responsibilities include: (Detailed Task)Assists in planning for the service/program through consultation with management, clinical staff, and other associated healthcare services to coordinate joint patient and management objectives.Assists in planning development and may conduct training programs to maintain personnel proficiency, use of new equipment, and implement methods and procedures.Act as an intermediary between CHS Management, Central Operations, and Correctional staff to ensure patient production for healthcare services.Monitors patient production and conducts regular visits to clinic areas or patient holding areas to ensure proper patient flow and to flag unnecessary delays in patient's movement to Correctional staff.Performs data entry and retrieval of records, lists, and statistical information; reviews statistical reports for accuracy and initiates procedures to resolve deficiencies; compiles and enters data; makes calculations; and prepares charts, graphs, databases, summaries, and reports.Provides administrative support for a comprehensive health service program of professional and non-professional staff and related health care personnel.Assists in scheduling meetings and appointments within the department and external entities. Prepares and maintains operational manuals and procedures up to date.Manages all departmental repairs and ordering of stationery and equipment as needed. Other administrative duties as deemed necessary. Department Preferences: (Preferred Skills)Strong written and verbal communication skills.Ability to develop reports and analysis. Ability to generate data reports from single and multiple systems.Advanced Microsoft Office Suite skills with an emphasis on Excel and PowerPoint.Detail-oriented and strong organizational and follow-through to coordinate work plans, prioritize assignments and meet deadlines.High degree of professionalism, courtesy, strong work ethic, integrity, regard for confidentiality and ability to work with discretion on sensitive matters.Ability to adapt to new situations, collaborate with team members, and work under pressure with minimal supervision, when necessary.Knowledge of operational health care policies and programs utilized in health care settings.Minimum Requirements: Master's degree from an accredited college or university with a specialization in hospital administration, health care administration, public health or a related discipline; orBaccalaureate degree from an accredited college or university in disciplines, as described in "1" above, and one (1) year of administrative experience; orAn equivalent combination of training, college education and experience in related fields.
