HOF was founded to connect ambitious technology founders to the capital and resources they need to build generational companies.About the RoleThe Reception Administrative Assistant will be responsible for driving the firm's daily operations and enhancing productivity across teams: managing schedules, coordinating travel, facilitating communications with both internal and external stakeholders and ensuring the office runs smoothly. This person will also support a professional, friendly and engaging front-office, owning the guest experience from arrival to departure. With a keen eye for detail and exceptional multitasking skills, the Assistant plays a vital role in maintaining productivity and fostering a positive work environment.Key ResponsibilitiesOwn front to back receptionist responsibilitiesGreet and assist guests from the front desk with a professional, friendly and helpful demeanorOversee calendar management and scheduling for the firm's partnersBook travel and accommodations, prepare and maintain travel itineraries and assist in Visa applicationsEnsure pristine office spaces including lounges, conference rooms and pantriesAssist with onboarding of new team members, including desk setup and system accessMonitor and maintain essential office inventory including pantry, stationary and other equipmentSupport event management as needed; order catering and manage the deliveries appropriatelyCoordinate room bookings for internal and external meetingsOversee office services like cleaners and maintenance service providersMail and receive packages across FedEx, UPS, USPS and other courier or delivery servicesSkills & QualificationsBachelor's degree preferredAt least 5 years administrative support experienceStrong communication and interpersonal skills to provide a friendly, professional, and helpful office experienceProficiency in handling day-to-day administrative tasks and maintaining an orderly office environmentCapability to juggle multiple responsibilities simultaneously without compromising qualitySelf-starter, work independently and follow through to resolve day-to-day administrative mattersExcellent judgment in handling sensitive information; understanding the need for discretion and confidentialitySolid understanding of MS Office Suite and Google Office Suit
