Front Office ManagerTHE ORGANIZATIONCommonwealth Partners (CP) is a diverse group of state and local business and community leaders, philanthropists, and successful entrepreneurs, who are dedicated to improving the economic environment in Pennsylvania. RESPONSIBILITIESThe Operations Manager is a key team member who reports to the Chief of Staff.Office ManagementAnswer phones and be the "manager of first impressions" for all guests that enter the office.Maintain and stock supplies for office and be responsible for the maintenance of a clean, orderly and professional office appearance.Event Management and CoordinationSupport the Chief of Staff by managing the events calendar for both internal and external events. Manage and be present for both internal and external events, which may require early morning and/or later evening work hours.Handle event logistics, including invitations, registrations, confirmations, catering and other vendor relations, event set-up, and event clean-up.Collaborate with the team to ensure events run smoothly and reflect the level of hospitality consistent with our values.Development/Fundraising SupportWork with the Director of Entrepreneur Engagement to establish new and current membership processes, including sending relevant information packets, thank you letters, and other courtesy mail packages.Create bios for potential donors, update personal information, and format current donor bios. Maintain membership and contribution records for CP and connected PACs. Check PO Box weekly, open mail, log checks, scan invoices, and send mail and packages. Assist the Director of Entrepreneur Engagement with Direct Mail efforts:Create/update weekly meeting notes.Review, process and maintain accurate contribution records in CP database.Thank donors in a timely manner via mail, email, and/or phone calls in coordination with team members to ensure donors/members are being thanked by the appropriate person. Coordinate with the team to maintain an on-time mailing schedule of all materials. General Administrative SupportSupport the Political Director by managing his calendar, being the contact person for all scheduling needs, and tracking relationship goals and progress.Perform other administrative duties as assigned.Personal and Professional SkillsGreat attention to detail and accuracy in all duties.Self-starter who takes pride in each and every project.
