Payroll Manager- Long Beach, CAWHAT YOU'LL BE DOINGThe Payroll Manager is responsible for the management and oversight of VLS USA payroll department. The manager is responsible for processing multi-state payroll on time, accurately and in compliance with government regulations. The manager is responsible for payroll compliance, reporting, handling escalated payroll issues and managing the workflow of the department. In addition, the manager will be required to submit monthly reports and lead discussions with Senior Management.ESSENTIAL RESPONSIBILITIES INCLUDE:Accurate processing of multi state, bi-weekly payroll for 500+ employees both exempt and non-exempt; including reviewing and moving over hours from time and attendance, administering regulatory requirements and other adjustments to pay as necessary.Ensure accuracy of payroll records by maintaining ADP Workforce with updates in status changes, tax withholdings, benefits deductions, and time off accruals, 401(k), and other payroll deductions for each employee.Ensure that all payments for tax withholdings, benefits, 401(k), and other payroll deductions are processed accurately and on time including monitoring to make sure they are paid by finance on or before due date.Work with the accounting team to reconcile and process other payroll journal entries as required; perform monthly reconciliation of payroll accounts in the general ledger, which includes labor costs, allocation of labor, quarterly filings and earnings from payroll system.Calculate final termination checks in compliance with state law, printing of live checks as needed and keeping track of all records.Timely and accurate response to requests for employment verifications, unemployment and disability claims.Weekly uploading of labor costs from ADP to MAS 500.Monitor regular tax filings with various jurisdictions and entities.Manage the accurate and timely year-end reporting of W-2s and other wage and labor filings.Process monthly workers computation for Workers Compensation insurance.Support internal payroll and accounting audits.Lead and finalize the 401(k) audit.Manage employee communications regarding any payroll-related Items or initiatives.Respond to all garnishments in a timely fashion, notifying the employee and entering the deduction for the appropriate agency.Assists in the formulation of office Standard Operating Procedures and protect payroll operations by keeping payroll information confidential.Monitor changes in payroll laws for federal, state and local agencies to ensure the company is compliant.Prepare ad hoc reporting, tracking key metrics such as on time approvals, manual adjustments, and manual checks.Coordinate efforts between payroll, human resources, and other departments to ensure proper flow and maintenance of employee data.Plan and evaluate staff progress towards established goals; conduct regular performance feedback discussions; identify strengths and areas for development, including specific action plans, methods and timelines for completion and assessment.Assist in ad-hoc duties when required.MINIMUM QUALIFICATIONS AND REQUIREMENTS:ADP Workforce Now knowledge and experience requiredBachelor's Degree in business, or related field, or equivalent combination of education and experience.5+ years of progressively responsible payroll experience required, with a minimum of 3 years of supervisory/leadership responsibilities.Extensive knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes.Exceptional work ethic, dependability, attention to detail, positive attitude; outstanding leadership, verbal and written communication skillsProficiency In MS Office suite, including Excel, Word, PowerPointProblem Solving- identify and resolve problems in a timely manner; gather and analyze information; develop alternative solutions; work well in group problem solving situations.Ability to read and interpret documents such as employment policies and procedure manuals.
