Job descriptionAbout usHogue & Belong is an established boutique Plaintiffs' law firm in San Diego, CA, specializing predominantly in employment law and high stakes class action work. The office environment is respectful and professional, yet also fast-paced and challenging.ResponsibilitiesDocument Preparation: Draft and edit legal documents, including correspondence, contracts, pleadings, and briefs. Ensure accuracy in formatting, grammar, and content. Efficiency and speed are desired.Client Communication: Handle incoming calls and correspondence from clients, schedule appointments, and relay messages to attorneys. Provide excellent customer service and maintain positive relationships with clients.Calendar Management: Maintain attorneys' calendars, schedule meetings, court appearances, discovery deadlines, and other appointments. Ensure attorneys are informed of upcoming deadlines and events.Filing and Record Management: Organize and maintain physical and electronic files, ensuring documents are properly labeled, stored, and accessible. Retrieve and distribute documents as needed.Billing and Timekeeping: Record billable hours and expenses accurately. Prepare invoices and assist with billing inquiries as necessary.Administrative Support: Provide general administrative assistance such as answering phones, managing mail, photocopying, and faxing documents. Coordinate travel arrangements and expense reimbursements for attorneys.Compliance and Ethics: Maintain confidentiality of sensitive information and adhere to ethical standards and regulatory requirements. Ensure compliance with firm policies and procedures.Team Collaboration: Collaborate effectively with attorneys, paralegals, and other support staff to ensure efficient workflow and timely completion of tasks. Assist colleagues with overflow work as needed.Qualifications: THIS IS NOT AN ENTRY LEVEL POSITION, IF YOU DO NOT HAVE LEGAL SECRETARY EXPERIENCE PLEASE DO NOT APPLY High school diploma or equivalent; additional certification or education in legal studies is a plus.Proven experience as a legal secretary or similar role in a law firm or legal department.Proficiency in MS Office suite (Word, Excel, Outlook) and legal software such as document management systems and case management software.Strong communication skills, both written and verbal.Excellent organizational skills and attention to detail.Ability to prioritize tasks and work under pressure in a fast-paced environment.Knowledge of legal terminology, procedures, and principles.Discretion and professionalism when handling confidential information.Ability to work independently with minimal supervision and as part of a team.Salary: $28 - $36 per hourWorking Conditions:The legal secretary typically works in an office environment, often in close proximity to attorneys and other legal professionals.
