Our client, a law firm based in NYC, is looking to add a Facilities and Office Services Coordinator to their dynamic team! Their ideal candidate has a team-oriented attitude, the ability to multi-task, effective communication, attention to detail, and good organizational skills.Rate: $20-23 hour, converting to 50k.ResponsibilitiesAssist the facilities team in various capacities including:Ensuring kitchens are stocked with supplies and maintained in a tidy mannerAssisting with the coordination of office and workstation set up and moves for firm attorneys and staffAssisting with setup and cleanup of meetings and special events (including food/beverage) in conference rooms and office event spaceRegistering visitors with building securityHandling conference room and private office reservation requestsAd-hoc facilities and office support projects and tasksProvide backup support to reception including:Covering the reception desk and duties during lunch hour, breaks, and PTOAnswering phone callsGreeting and assisting visitorsTaking and delivering messagesMonitoring the conference room booking systemProvide backup support for the office services department in mornings and as-needed, including:Handling print and copy jobsAssembling binders of legal documentsPreparing FedEx, UPS, and USPS packages and letters for mailing and deliver to shipping repositories as necessaryMaintaining the office copy machines and printers (ie. refilling with toner and paper; placing service calls when necessary)Ensuring the office services room is well-stocked and organizedCoordinating messenger serviceHandling in-office mail and package distributionOccasionally assist with heavy lifting to transport boxes of materials and supplies within the officeOccasionally assist with administrative projects that support general office operationsRequired QualificationsAbility to prioritize various tasks in a fast-moving environmentAbility to be flexible and shift/reprioritize as needed to address changing demandsSolid communication skills, both verbal and writtenAbility to lift at least 50 poundsFriendly and cooperative personalityQuick learner and detail-orientedA team player with a customer service mindset and who is eager and willing to assist othersExperience with Microsoft Office products (primarily Outlook and Word)Punctual and reliableAble to ensure confidentiality of all Firm documentation and informationComfortable with a dotted line reporting structurePreferred Qualifications:Experience with Konica Ricoh Pro C310s printers helpful but not requiredExperience with Fiery Command workstation, SharePoint, and MimecastBachelor's degree preferred, but not required
