We are partnering with a real estate and property management firm in Pinellas county looking for experienced Administrative Assistant to join their team. This firm is experiencing exponential growth and seeking a solutions-focused and detail oriented individual to support their team of Property Managers. The Administrative Assistant will have excellent communication skills as this role is essential for vendor relations, board member support, and internal schedule management.Responsibilities:Provide coverage for Receptionist, as needed.Provide administrative support to Property Managers and ensure efficient processing of tasks for each communityAnswer, forward, and screen phone calls, schedules meetings, and support visitorsPerform administrative duties such as filing, typing, copying, scanning, etc.Respond to owner's, vendor's or Board Member's inquiries and requestsProcess sale and lease applicationsKeep community owner and tenant database up to date in management softwareProcess violation lettersScan and file documents (meeting packets, owner info sheets, notices, etc.)Maintain electronic file system by keeping it organized and currentDraft annual meeting notices and complete mailing affidavitsTake lead on insurance renewalsKeep association forms and welcome packets updatedSend welcome packets to Realtors with new listingsManage owner portals and keep information updatedExperience and Qualifications:High school diploma or equivalentThree or more years of administrative experienceProficient with Microsoft Office Suite (Word, PowerPoint, and Excel)High degree of accuracy and attention to detailExcellent time management and written and verbal communication skillsHighly organized multitasker who works well in a fast-paced environmentConsistent, professional dress, and mannerWillingness to learn and to grow with the companyAble to contribute positively as part of a team, helping with various tasks as requiredSchedule: 8:30am to 5:30pm, Monday to FridaySalary: $38,000 to $45,000 annually with benefits package, PTO, and moreAll qualified applicants will receive consideration for employment without regard to race, color, national origin, age, ancestry, religion, sex, sexual orientation, gender identity, gender expression, marital status, disability, medical condition, genetic information, pregnancy, or military or veteran status.
