As a third-generation family-owned-and-operated business that believes in core values, knowledge, expertise, and dedicationJob SummaryThe hospitality receptionist provides administrative and organizational support and serves as the initial point of contact for the Company, its' clients, visitors, employees, and associates. This individual is the face of the company and who guests interact with first. This role includes a multitude of responsibilities within the goal of fostering an environment that promotes company values.Essential Functions:Welcome and assist visitors in a friendly and professional manner.Maintain office security by logging in guests who visit departments within the Company, issue protective gear as needed for guests entering restrictive areas.Answer incoming telephone calls, screen and forward to the correct department.Handle basic inquires, receive and process incoming and outgoing mail and distribute to respective departments.Copy, scan and file documents as requested by any department and/or sales team member.Maintain the cleanliness and organization of the Reception area.Ship via FedEx and Regular mail as requested. Schedule FedEx pick ups and ensure shipments are scheduled for pick up before the end of business day. This includes but is not limited to standard USPS mailings and certified/return mail receipt items.Receive and process all incoming mail and packages from FedEx, UPS, USPS, Amazon, Staples etc. Distribute accordingly to the correct personnel and/or department.Provide support in team incentive projects including birthday and anniversary billboard monthly updates and other team building projects as needed.Assist any department with administrative tasks as needed.Maintain strict confidentiality of all company, employee, and customer information.Maintain office supply inventory, order additional supplies as needed and stock items in supply cabinet as received.Competencies:Communication Delivers clear, effective communication and takes responsibility for understanding others.Customer Service Demonstrates a commitment to public service; serves and satisfies internal and external customers; holds self accountable for quality outcomes.Interpersonal Relationships Develops and maintains effective relationships with others; relates well to people from varied backgrounds and in different situations; shows understanding, courtesy, tact, empathy, concern, and politeness.Teamwork Works with and helps others to accomplish objectives.Adaptability - Adapts quickly to change and easily considers new approaches.Required Skills/Abilities:Excellent and accurate written and verbal communication skills.Ability to accurately route calls from a multi-line phone system.Excellent customer relations skills including ability to provide a positive and client-oriented demeanor.High quality computer skills in Microsoft Office, Outlook, Teams, and other software.Ability to use professional discretion and maintain confidentiality.Ability to work effectively and efficiently in a fast-paced environment.Minimum Requirements:High School Diploma and/or GED equivalent or a minimum of 2 years of experience in an Administrative and/or Receptionist role.Valid Florida Driver's License.Must be legally authorized to work in the United States.Must be able to read, write, speak, and understand English.Physical Requirements:Company maintains a firm commitment to providing a safe and healthy work environment for its employees and quality services to its clients.
