We are currently seeking a motivated and detail-oriented Office Administrator to join our team and support our growing insurance sales operations.Key Responsibilities:Implement and oversee the client meeting experienceCoordinate service requests, appointments, and communications (mail, phone, email, fax)Set up and manage client records (both physical and digital)Manage birthday and client special event communication, including gifts and cardsAssist with the smooth flow of new insurance business operationsSupport revenue-generating activities in the pipelinePrimary Tasks:Greet clients and ensure conference room prep and upkeepSet up and maintain client e-folders and CRM recordsAddress and prepare birthday and thank you cards for clients; remind advisors to write personalized messagesArrange for gifts for client birthdays, anniversaries, and other special occasionsManage incoming service requests, assign tasks, and process communicationsPrep paperwork applications for insurance, including ordering exams and following up on underwriting and APSKeep clients informed throughout the insurance process and update workflows accordinglyFollow up on pending business and coordinate policy deliveryTechnology Knowledge, Skills, and Abilities:Proficiency in CRM systems for managing client data and workflows (experience with Salesforce, Adviosr360 or similar platforms preferred)Strong knowledge of Microsoft Office Suite, particularly Word, Excel, and OutlookAbility to manage electronic filing systems and client e-folders efficientlyFamiliarity with insurance-specific software and tools, including proposal generation and underwriting systemsKnowledge of digital communication tools for managing phone, email, and fax communicationsComfortable with technology used for ordering and following up on insurance exams and application processesProfessional Skills and Attributes:A professional communicator with strong verbal and written communication skillsAttention to detail, ensuring all tasks are double-checked, cross-checked, and completed without errors or mistakesRepresents the firm professionally in all communications, ensuring they align with the firm's brand and standardsTakes ownership in maintaining the high quality of client interactions and ensuring seamless communication on behalf of the firmHighschool Diploma Required.
