Sr. Administrative Assistant - SouthlakeDelta Dallas is currently assisting a private investment firm based in Southlake in its search for an experienced Senior Administrative Assistant to support multiple executives at the Partner and VP-level. The ideal candidate will hold a four-year degree and have at least three years' experience supporting executives with busy calendars, domestic and international travel coordination, meeting planning, and expense reporting. If you are a Senior Administrative Assistant with 3-5 years' experience who can work unsupervised, use independent judgment to make informed decisions, work as a team with other executive support professionals, and work in a fast-paced, active environment, then this job might be for you!This role offers a 4/1 hybrid model, allowing the employee to work one day per week remotely.Responsibilities:Manage and update complex calendars on a global basis for a team of executivesCoordinate global travel for executives and investors (commercial and private travel)Coordinate on- and off-site meetings with internal and external stakeholdersManage all client communications, upholding the firm's strict standard for branding and professionalismPlan all details for executives' attendance at up to 20 board meetings per year (travel, lodging, meals, etc.)Team with other executive support professionals internally to plan annual conferences, management meetings, company events and retreatsManage and reconcile expenses in ConcurPartner with administrative team to provide back-up reception coverage as needed Minimum Qualifications: Knowledge, Skills and Attributes:Bachelor's degree highly preferredMinimum three-five years' experience supporting multiple executives, preferably on a global basisExcellent customer service skills and positive attitudeAbility to work as in a team-oriented environment, where collaboration with other executive support professionals is regularly required Excellent written and verbal communication skills, with the ability to communicate on behalf of the executives as necessaryStrong technical skills, specifically within the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and Concur required; experience with CRM and QuickBooks highly preferredExcellent problem-solving and conflict management skillsStrong independent judgment; ability to make informed decisions with no guidance is a mustExcellent time management and multitasking skillsAvailability to work outside of normal working hours as necessary, due to the global nature of the executives' rolesOur client offers an excellent benefit package, including fully paid healthcare premiums, a fully funded HSA account, untracked PTO/vacation, and a healthy 401K match.
