Events and Marketing Coordinator (or Manager)Overview: The Los Gatos Chamber of Commerce (The Chamber) is a 330-member organization that serves as the Town's catalyst for business vitality and community enrichment. The Chamber promotes the success and growth of our members through events, marketing exposure, networking opportunities, educational workshops, business intelligence and legislative advocacy. The Chamber also manages the Los Gatos Visitor and Information Center ("Visitor Center"). Position Summary: The Los Gatos Chamber of Commerce is seeking an energetic and detail-oriented Events and Marketing Coordinator. Note that those with significant experience will be considered for a Manager level role. Reporting directly to the CEO, the Events and Marketing Coordinator plans, promotes, and executes the Chamber's regular programs as well as its major annual events and fundraisers. The Events and Marketing Coordinator is responsible for developing and implementing the marketing and communications strategy for both the Chamber and the Visitor Center. This position also supports our membership. By providing meaningful resources to our members, we drive engagement and ensure retention. Event and Program Responsibilities:Plan, promote, and execute regular Chamber programs (e.g., ribbon cuttings, networking events, luncheons, seminars, or educational workshops).Plan and produce major annual events and programs (e.g., Wine Walks; Taste of Los Gatos; Magical Memories Holiday; Halloween PAWlooza; Annual Member Celebration; GOLD Thursdays; Los Gatos Loyal card). Develop a marketing plan for each major event/program.Assist CEO in filling event sponsorship opportunities.Manage vendor relationships, negotiate event contracts, and secure required Town permits and ABC licenses.Manage attendee pre-registration as well as onsite ticket sales.Plan all event logistics (e.g., budgets, timelines and run sheets, volunteer/ staffing plans, check-in tables, booths, signage, scripts).Provide onsite coordination of all events, including inspections, set-up, production, clean-up, and follow-up.Marketing and Communications Responsibilities:Develop and implement the marketing and communications strategy for both the Chamber and the Visitor Center. Market the Chamber to build membership and generate robust event attendance. Execute destination marketing initiatives, including, but not limited to the Los Gatos Destination Guide and Visit Los Gatos assets in order to increase tourism awareness and interest in Los Gatos. Frequently promote news and events for the Chamber, its members, and the Town of Los Gatos. Create engaging content (both creative design and compelling copy) for print materials (e.g., flyers, brochures, maps, pamphlets, ads, postcards) and for all digital platforms (e.g., website, Facebook, Instagram). Create comprehensive event marketing campaigns for major events and programs, including the design and production of print materials (e.g., media ads, invitations, programs, flyers, posters, banners, sponsor flags); sponsored items; and digital collateral.Collaborate with Multimedia Designer in development and execution of the marketing designs as well as social media for the Chamber and for the Visitor Center. Produce high-quality weekly email newsletter via Constant Contact, including copywriting and layout/design.Serve as staff liaison to the Board of Directors Events CommitteeMerchandise souvenir "store" and supervise marketing and informational displays in the Chamber office/Visitor Center.Membership and Other Responsibilities:Aid in membership engagement and provide members support as needed. Conduct the annual member survey and report results. Utilize ChamberMaster software to manage member relationships.Coordinate and provide onsite staff support at all Chamber events and meetings.Attend (or monitor virtually) any relevant Town staff and Council meetings to understand policies, legislation, and issues affecting the Chamber, its members, and the community.Assess and report on the performance of events, marketing initiatives, and membership statistics using surveys or other analytics tools. Other duties as assigned by the CEO.Experience & Skills Needed:REQUIRED: At least 3 years of professional experience with Event Planning and Production of large scale events/fundraisers for 200+ attendees- please detail experience in cover letter.REQUIRED: At least 3 years proven marketing experience, both traditional and digital- please detail experience in a cover letterAssociate or bachelor's degree in marketing, communications, graphic design, business administration, or similar.Experience in related industry, ideally within a Chamber of Commerce, Business Association, or a mission-driven non-profit is preferred.Highly organized and adept at efficiently managing multiple projects against deadlines and budgets. Excellent verbal and written communication skills and comfortable with public speaking.Calm, collaborative and diplomatic in all situations.Highly self-motivated and detail oriented.Proficiency in MS Office, Google Suite, and Mac programs.Proficiency in graphic design software (e.g., Publisher, Adobe Creative Suite, Canva).Competency with Constant Contact or similar software, social media apps, and website management tools (e.g. WordPress). Experience with ChamberMaster or similar member management software is preferred.Comfortable learning new technology.Creative and open to trying new ideas.Bonus points if you are well-versed in all things Los Gatos and "Community" is your middle name.Other:Frequently lift and/or move up to 10 pounds, regularly lift and/or move up to 25 pounds.Must have a valid California driver's license.This position is an in-person role Tuesdays-FridaysA few mornings or evenings every month for ribbon-cuttings and networking events, as well as some evenings and weekends for major community events.
