Essential Duties and Responsibilities:Experience in Corporate Law type of environmentExperience in E-filing documents with Federal and Florida State CourtsScheduling of Court appearances and depositions; calendaring sameAssist team in drafting, proofreading, redacting, and editing (i.e., "redline") various documents and contracts for correct spelling, grammar, punctuation, format, and content.Answer telephone and routine questions from clients and team members and/or route calls to appropriate staff members.Assist with the organization of client materials and attorney work product within our document management systemReview and edit pre-bills, and ensure they are ready for attorneys' review and approvalEnsure that the clients' billing requirements are correctly set upInput and edit attorneys' timeMaintain attorneys' client contact informationSubmission of new business intake and assist with running conflict checks, opening and closing of client mattersPerform administrative duties, such as client file management, general correspondence, expense reports, check requests, etc.Efficiently and thoroughly understand how to use all necessary Firm softwareSchedule appointments and meetings and keep appointment calendars for the candidate's team of attorneysAssiduous telephonic follow-up communicationsEssential Knowledge, Skills, and Abilities:Excellent communication skills - written and oralStrong organizational and time management skillsDetail orientedClient service orientedAdvanced knowledge of MS Office applications, including Word, Excel, Outlook, and PowerPoint with aptitude to learn other systems/programs. Experience in iManage is a plusAdvanced Adobe Professional and Adobe AcrobatAbility to file documents in State and Federal courtsStrong analytical skillsAbility to multi-task work well under pressure and meet deadlinesAbility to work independently and as a teamEffectively communicate and integrate with clients and teamEffective follow-up skills/follow-through without promptingEducational/Job Experience Requirements:High school diploma from an accredited institutionThree (3) years of law firm experience preferredAvailability for overtime as needed
