Operations ManagerFlorham Park, NJ 07932Reports To: CEOJob Type: Full-TimeDepartment: Operations / B2B Packaging SupplierOBJECTIVE/PURPOSE OF THE ROLE:The Operations Manager will oversee the smooth execution of wholesale distribution operations, leveraging vendors and third-party logistics (3PL) providers for warehousing and transportation. Responsibilities include managing relationships with all partners, optimizing procurement negotiations and distribution efficiency, ensuring service levels, and overseeing inventory control and order fulfillmentKEY RESPONSIBILITIES:3PL Relationship Management:Serve as the primary liaison between the company product vendors, warehouse, and logistics providersNegotiate service level agreements (SLAs) with vendors to ensure expectations are clearly defined and met, including accuracy, lead times, and delivery schedulesConduct regular meetings with the product and 3PL provider to review performance metrics, address issues, and discuss improvement opportunitiesInventory Control & Management:Coordinate with the 3PL provider to ensure accurate inventory management, stock levels, and storage optimizationImplement processes for inventory reconciliation and resolve discrepancies with the 3PLWork with the 3PL to establish efficient inventory receiving, storage, and dispatch practices that align with company goalsOrder Fulfillment & Customer Service:Oversee the order processing for vendors and customers, ensuring that customer orders are processed accurately and delivered on timeMonitor order processing timelines and work closely with them to resolve issues such as delays or inaccuracies in ordersCollaborate with the customer service team to handle customer inquiries, complaints, or special requests related to order status, fulfillment, shipping, product specifications and other issues as neededLogistics & Transportation Coordination:Work with the 3PL provider and vendors to ensure efficient transportation and distribution logisticsOptimize routes and delivery schedules, ensuring cost-effectiveness and on-time performanceMonitor shipping costs, transit times, and delivery quality to ensure requirements are metPerformance Monitoring & Reporting:Track and analyze key performance metrics from vendors, including costs, order accuracy, inventory levels, fulfillment times, and delivery performanceRegularly review data to identify areas for improvement and work to implement solutionsPrepare regular reports for upper management on performance and overall business efficiencyCost Management:Monitor and control costs associated with product procurement, warehousing, inventory management, and transportation servicesIdentify opportunities to reduce costs, optimize warehouse usage, and improve transportation efficiency through better negotiation and operational processesWork with finance to track and forecast operations and product costsCompliance & Safety:Ensure vendors comply with all relevant regulations, including safety, environmental standards, industry-specific and audit requirementsRegularly review the vendor compliance with contractual terms and product/service levels, taking action when necessary to correct non-complianceTechnology & Systems Integration:Ensure seamless integration of the company's systems (e.g., QuickBooks) with vendor and client technology platforms to maintain real-time inventory and order status visibilityWork with vendors to troubleshoot and resolve any system-related issues impacting operationsAdvocate for continuous improvements in technology and process automation to enhance operational efficiencySupplier & Vendor Coordination:Manage relationships with product suppliers, negotiating costs and services and coordinate with the 3PL provider for receiving and storing goodsEnsure that the 3PL's receiving process is aligned with the company's expectations for stock management and that any receiving discrepancies are quickly resolvedKEY PERFORMANCE INDICATORS (KPIS):Order fulfillment accuracy and timelinessInventory turnover and stock accuracyVendor performance (e.g., on-time deliveries, cost efficiency, product quality compliance)Transportation cost per shipment and overall logistics cost reductionCustomer satisfaction in terms of order processing and delivery timesCompliance with contractual service levels and regulatory standardsCAREER DEVELOPMENT:Skills:Strong negotiation and relationship management skills, particularly with third-party vendorsAbility to analyze performance data and make strategic decisions based on insightsStrong leadership and communication abilitiesProficiency in inventory management and controlProblem-solving and critical-thinking skillsNote: Opportunities for progression to senior roles, such as Director of Operations, VP of Supply Chain, or Chief Operating Officer (COO).WORK ENVIRONMENT:This in-office role also involves visiting the warehouse to assess performance and address issues when/if necessarySome travel may be required to visit suppliers and/or clientsOther duties may be added as neededWe are an equal opportunity employer, and we are an organization that values diversity.
