As the part-time Office Assistant, you will contribute to optimizing our team's experience through project management, cross-functional collaboration, and vendor relationship management. The Office Assistant supports various projects to ensure proper execution and upkeep of the facilities.This part-time role (20 hours per week) will be based out of Jotform's San Francisco office and will report to the HR Business Partner. The key responsibilities of this role include but are not limited to:Inventory oversightCreating systems to manage ordering and organization of:Snacks and drinksOffice supplies, equipment and overall ambianceSwagEmergency suppliesEquipment distribution and collectionSending equipment and Jotform swag to remote new hiresSetting up office equipment and Jotform swag for in-office new hiresArranging return of company property from former employeesUpdating office floor plan during headcount/layout changesVendor managementManaging workplace-related vendors:Property management (employee access, maintenance, etc.)Bi-weekly water deliveriesInternetMonthly commuter benefit ordersEvent planningArranging weekly lunch orders Coordinating in-office birthday celebrations and helping with additional projects as necessary (such as helping plan holiday parties, launch parties..)Helping organize travel + accommodations for eventsSafety training and emergency preparednessCoordinating with HR on Presentation of workplace safety material and completion of required trainingsServing as safety warden and representative at building safety meetingsAnnually updating/communicating the offices' emergency response planEnsuring adequate supply of emergency provisions (first aid, food, water)Clerical and administrative supportFiling customer payment receiptsHelping with preparation and processing of various formsAssists with coordination of other duties and special projects as assignedAbout you: Willing to work 20 hours per week (in-office Monday thru Friday from 8:30am-12:30pm, Pacific Time)Growth mindset!
