We are currently seeking a dynamic and energetic leader for our Procurement & Service Operations Department, based in our Port Washington office, to oversee and manage procurement, logistics, and service operations. This balanced role focuses on sourcing, purchasing, coordinating the delivery of materials and equipment, and managing service execution to meet VIRSIG's operational and customer service objectives. Under minimal supervision, the Procurement & Service Operations Manager will be responsible for managing the procurement of items sold as part of projects, installations, and sales, ensuring logistics are handled effectively to guarantee timely delivery and keeping all stakeholders informed. Simultaneously, this role oversees service operations, including scheduling, coordinating, and supervising service team activities to ensure customer satisfaction and operational efficiency. This includes overseeing a small team of service technicians, primarily assigned to service and maintenance contracts, but also supporting other client needs as required. This role integrates procurement, logistics, and service management to drive operational excellence, ensure timely project delivery, and maintain high customer satisfaction. Why join us?Competitive compensation packagesMedical, dental, vision coverageHealth reimbursement account 401(k) with company matchProfessional development assistancePTO programPaid federal holidaysGrowing firm with fantastic team and cultureJob DetailsJob ResponsibilitiesManage the procurement of materials and equipment required for projects, installations, and sales, ensuring accurate and timely deliveryDevelop and maintain strong relationships with vendors, manufacturers, and suppliers to negotiate favorable terms and ensure quality and cost-effective procurementManage logistics to track the shipment and arrival of product orders and provide regular updates to relevant stakeholdersPerform inventory control, including tracking stock levels and reordering supplies as neededCoordinate with internal teams to forecast procurement needs and align logistics strategies with project timelinesSchedule and direct service tasks, monitor the progress of current service projects, and manage service team members to ensure the team's objectives and contract requirements are metHandle customer issues and concerns quickly and professionally to maintain strong customer relationships and grow service opportunitiesPerform service administration including generating service tickets and sales orders, assigning technical resources for service execution, managing and updating invoices, processing new orders, and securing customer sign-off or work approvalsLead a department to include prioritization of required tasks and balancing resources needed to achieve successDevelop strategies for continuous improvement, including refining procurement and logistics methodologies and proceduresEstablish and maintain strong working relationships with internal and external resources (sub-contractors, vendors, manufacturers, etc.) to ensure operational requirements can be met in a timely mannerSolve problems and remove obstacles to effective and efficient procurement, logistics, and service execution through collaboration and creative thinkingManage VIRSIG's warranty program, including equipment lists, warranty periods, warranty terms and conditions, and manufacturer support availabilityAudit field work and service execution to ensure both VIRSIG and customer quality standards and contract requirements are metProvide operational assistance to support full-time equivalent (FTE) positions within the organizationAssist in gathering equipment quotes and entering or processing purchase orders to secure materials needed for service or projectsEnsure new technicians or other personnel are properly trained in operational proceduresBuild out and manage a knowledge base of procurement, logistics, and service-related issues, processes, and historical dataMaintain a strong working knowledge of VIRSIG and industry-specific technologies, procedures, innovations, materials, tools, and processes to ensure resources and clients have access to current and relevant informationOversee a small team of service technicians, ensuring efficient allocation of resources to service and maintenance contracts while supporting other client needs as requiredCoordinate team activities to ensure successful procurement, logistics, and service management where necessaryQualifications & Experience3-5 years previous Procurement, Logistics, or Service Management experienceMinimum 1 year of experience in the electronic security system industryMinimum 3 years of experience in a management or dispatch capacityExceptional customer focus and ability to work under pressure; ability to anticipate and seek to meet the needs and wants of the customer without being promptedPrevious exposure and moderate technical understanding of Electronic Security Systems to include access control, intrusion detection, video surveillanceCCTV, and similar low voltage communications equipment, software, and infrastructureStrong understanding of procurement and logistics principles, including inventory control, vendor management, and supply chain optimizationStrong understanding of service operations management, including scheduling, resource allocation, and quality assuranceAbility to understand basic technical explanations and convey updates regarding technical matters to both internal and external audiencesMotivated and diligent work ethic capable of understanding and performing tasks with minimal supervisionStrong organizational skills and the ability to build and manage repositories of information within company provided computer information systemsStrong verbal, written and interpersonal communication skills and commitment to professionalism in customer interactionsExperience with a procurement, service, or inventory management software system is requiredWorking knowledge of Microsoft Office; experience with ConnectWise or similar platforms is a plusStrong understanding of field services, installation, and preventive maintenance services preferredStrongly self-motivated and directed with the ability to work independently and as part of a teamOutstanding written and verbal communication skillsAbility to provide on-call support outside or standard business hours on occasionStandard ScheduleMonday - Friday 8:00am - 5:00pmThis position will be based in-office at our Port Washington headquarters, however allows potential for a flexible schedule and partial hybrid remotehome office performance;
