Job Type Full-timeDescriptionRobert Michael Communications, Inc., is seeking a motivated and organized individual to join our team as an Administrative Assistant professional. This role involves providing administrative assistance across multiple departments and affiliate companies within medical communications. The ideal candidate will be detail-oriented, efficient, and able to manage multiple priorities. This is a hybrid role, with a requirement to work on-site at our corporate office in Voorhees, NJ to support the Fulfillment Services Department.RMC is an administrative company offering shared services to an independent medical education company and two full-service medical communications companies.Responsibilities: Administrative Services:Organize and support affiliates with data processing and administrative tasks.Track and communicate the status of Statements of Work (SOWs) to all relevant parties.Assist in the preparation of regularly scheduled reports (e.g., SOW Report).Manage and track job numbers and purchase orders for approved projects.Oversee new hire training and orientation for administrative functions.Maintain confidentiality and professionalism in communications via phone, email, and mail.Fulfillment Services:Verify the accuracy of incoming and outgoing shipments by comparing with manifests, invoices, or orders.Manage Fulfillment Work Orders in the absence of the Fulfillment Services Manager.Record shipment data and maintain tracking systems.Sort and distribute incoming mail; process all outgoing mail and FedEx shipments.Handle production and accuracy of printed materials for meetings, including cutting, binding, and shipping.Conduct quality control checks for meeting shipment boxes.Perform mailings using software tools such as mail merge.Pick up printing orders and office supplies as needed.Assist with special projects as assigned.Meeting Services:Assist the Meeting Planning team with faculty and staff travel arrangements, including booking air, hotel, and ground transportation.Manage data entry of new meeting details into databases and status reports.Prepare and send Open Payment reports.Provide receipts and update meeting budgets.Support Meeting Managers with venue research and meeting materials preparation. RequirementsEducation and Experience:Associate's degree (A.A.) or high school diplomaGED equivalent with 1-2 years of relevant experience or an equivalent combination of education and experience.Proficiency in Microsoft Office Suite (Excel, Word), knowledge of is a plus.Strong organizational skills, attention to detail, ability to prioritize tasks, and the ability to work independently or as part of a team.
