This role is responsible for overseeing the daily operations of the OBGYN Clinic and providing support to the Radiology Department as needed to ensure continuous coverage. The primary duties include managing the Birth Registry area, coordinating colposcopy appointments, addressing care gaps, and ensuring seamless operations within Women's Health Services.Specific Duties and Responsibilities: The Clerical Associate IV is charged with and responsible for:•Act as a lead for the Clerical III staff by ensuring completion of clerical duties and filling in when staff members are absent.•Assist and support supervisors (Assistant Coordinating Manager, Coordinating Manager, Associate Director, and Assistant Director) with departmental tasks and coordination.•Oversee the Birth Registry area to ensure the timely and accurate completion of birth certificate processes for newborns.•Coordinate and maintain radiology schedules ensuring all necessary appointments are appropriately scheduled and updated.•Ensure care gaps are addressed throughout the day by reviewing appointment schedules and resolving any issues.•Assist with colposcopy appointments as needed, ensuring proper scheduling and documentation.•Handle urgent requests or concerns from leadership or the clerical team, providing efficient solutions or escalating when necessary.•Cross-train between Women's Health and Pediatrics to provide flexibility and support in both departments as needed for Healthy Mommy & Healthy Baby.•Review and monitor data on birth certificate applications for accuracy and ensure the process is followed correctly.•Ensure Birth Certificates are submitted within 3-5 business days.•Enter information into EVERS electronic system for STOPS, ITOP, and Fetal Demise for NYC Dept. of Health statistics.•Coordinate appointment confirmations by calling patients and managing cancellations or reschedules.•Order supplies and literature related to women's health services.•Provide coverage for OBGYN clinic duties, including patient registration, check-in, and scheduling as necessary.•Assist in advancing Press Ganey scores by treating all patients in a courteous and respectful manner with special regard to confidentiality.•Verifies insurance and all demographic patient information via EPIC, EPACES, insurance portals, telephone or fax.•Provide patients with appointments in Epic (when applicable) to all clinics as needed.•If ineligible for insurance schedules patient to a financial counselor.•Scan required proof of income, identification etc. into EPIC and follow-up to obtain any missing documentation.•Process (open and close), as appropriate, visits for clinic sessions in Epic within prescribed time-frames.•Register (Check in and check out) patients utilizing Epic•Pre-register patients via telephone to ensure quick check in at arrival•Maintain work list in Epic as appropriate, and reschedule patients as needed.•Manage work-queues to correct registration errors & coordinate patient referrals•Other duties as required.Minimum Qualifications1. A high school diploma or its educational equivalent; and2.
