ORGANIZATIONAL CONTEXTSince its founding in 1986, Student Sponsor Partners (SSP) has been providing private high school educationand mentorship to economically and educationally disadvantaged students. Thousands of students are supportedby a sponsor and a mentor and attend private partner high schools located in New York City. SSP is made up ofPhilanthropy & Resource Development, Programs and General Administration (Finance, HR, IT.) Reporting tothe Associate Executive Director and Executive Director.POSITION SUMMARY:DUTIESRESPONSIBILITIES:The Data Entry Specialist is responsible for the accuracy and timeliness of gift processing andefficient maintenance of the donor management databases. This position is key in enhancing donorrelations by creating a positive experience for donors through timely communication and respondingto donor inquiries. Required skills include time management, curiosity, exceptional attention to detail,accuracy, ability to work independently, forward-thinking, and not being afraid to ask questions whileseeking correct answers. This position works closely with the DevelopmentCommunity Engagement,Business Services, and Finance teams.DUTIESRESPONSIBILITIES•Gift Entry & Financial Reconciliation•Accountable for the proper processing and commitment of daily gift batches in accordance withpolicies and procedures, including checks, credit cards, online, direct deposits, third-party platforms,recurring gifts, matching gifts, employee gifts, and gifts in kind in a timely and accurate fashion•Assist with evaluating and improving the gift-processing workflow and ensuring proper coding forcampaigns, funds, and appeals.•Communicate with donors and financial organizations to resolve issues.•Complete Direct Mail import process as per vendor schedule.•Reconcile gifts with Finance and ensure accurate reporting for mid-month, month-end, and yearendbalances.Data Integrity Management•Asisting the Development Department with the maintenance and oversight of Raiser's Edge NXT,third-party platforms, and fundraising tools; attending regular training on Raiser's Edge for bestpractices and software updates.•Ensure data accuracy by updating constituent records, running audit queries, and cleaning upduplicates.•Review and edit gift batches daily, perform regular data clean-up, and audit records monthly.•Maintain donor confidentiality and suggest improvements to streamline database processes.Office Support•Work with Development & Community Engagement teams to generate fundraising reports.•Assist with event RSVPs, donation processing, and post-event reporting.•Provide backup for stewardship efforts, acknowledgment letters, and donor inquiries.•Help maintain organized filing and assist in staff training for Raiser's Edge.SKILLS AND ABILITIES•Excellent verbal and written communication skills.•Strong attention to detail and accuracy in data entry and financial reconciliation.•Excellent organizational and time management skills, able to multitask and meet deadlines.•Strong analytical and problem-solving skills to resolve issues with gifts, donations, and datadiscrepancies.•Ability to work independently and collaboratively as part of a team.•Ability to maintain confidentiality of donor records and sensitive financial information.•Ability to quickly adapt to and learn new software, especially Raiser's Edge NXT and third-partyplatforms.•Proficiency with Microsoft Office Suite, particularly Excel, for data tracking and reporting.•Strong data management skills, including record auditing and ensuring data accuracy.•Ability to support and train others on fundraising and donor management software.•Strong customer service skills to handle donor inquiries and resolve issues professionally.•Ability to perform repetitive tasks accurately, maintaining consistency in gift entry and financialprocesses.EDUCATION AND EXPERIENCE•Associate Degree plus 3 years experience or equivalent combination of education and experiencein data entry is preferred.•Prior experience in a Fundraising environment supporting capital campaignsmajor gifts is a plus•Prior experience in a nonprofit industry is preferred but not required.•Proficiency with Microsoft Office Suite, Excel, Outlook, Teams, Virtual Meetings and other learningplatforms is strongly preferred.•Knowledge of basic accounting practices and Raiser's Edge is a plus.•Excellent written, verbal and interpersonal communication skills.•Strong organizing, time-management and planning skills with the ability to multi-task and prioritizeduties.
