This is an hourly 42.5 full time 7:30 am - 4:30 pm Monday though Friday position, with the option for additional overtime as required. The primary responsibility of the Job File Coordinator is to monitor incoming leads from conversion to active job status through completion of work and customer invoicing. The Job File Coordinator will work closely with Production to maintain an accurate work-in-progress board and audit daily documentation for all job files. The Job File Coordinator will also review the scope, estimate, and job file documentation to ensure all program requirements are met and all work performed is accurately invoiced. Then you may be our perfect hero!Primary ResponsibilitiesMonitor job file status to ensure accuracy in all job file documentation municate daily with Production crews to ensure all required documentation is captured on site at point of task.Createreview estimate based on scope and photos from Production crew.Maintain an accurate Work in Progress (WIP) board for all active leadsprojects.Monitor and ensure all client requirements are followed.Maintain internal and external communications with all stakeholders, including scheduling for production crews.Review timestamps and other datapoints to reflect accurate reportingplete and review job file documentation for final upload and the audit process.Perform internal audit of all projects to ensure estimate captures all work performed.Perform all job close-out activities, including coordination with accounting team to ensure proper invoicing.After-hours on call phone rotation participation.Assist other departments, as needed.Position RequirementsHigh school diploma or GED required, with at least 2 years of administrative or office-related experience in the Restoration industry.Strong written and verbal communication skills, with the ability to maintain professionalism and a courteous tone in all interactions.Excellent customer service abilities, including active listening, questioning, and staying calm under pressure.Highly organized, detail-oriented, and able to multitask in a fast-paced, team-oriented environment.Self-motivated, goal-oriented, and capable of learning new software quickly, including Google Workspace, Xactimate®, and proprietary tools.Experience with writing estimates, managing job files, and performing quality assurance is a plus.
