Schedule: Flexible hoursMonday to FridayWeekends as neededJob location: Remote with weekly in-person meetings in BrooklynCobble Hill (approximately once a week after initial training period) Description of the company: The New York Baby connects expecting families, as well as those with newborns, to a network of certified, highly-trained, and vetted professionals, including birth doulas, postpartum doulas, baby specialists, and lactation consultants. Our mission is to provide compassionate, expert support to families during one of the most important times of their lives Description of the job duties: We are seeking a detail-oriented, proactive, and compassionate part-time Office Manager to assist with the smooth operation of our growing practice. In this role, you will manage administrative tasks, client communications, and support marketing efforts, all while maintaining a caring and professional approach to customer service. Key Responsibilities: Respond to client inquiries via email and phoneConduct client sales calls and follow up with potential clientsPrepare contracts, invoices, and healthcare billing documentsOrganize and post events, workshops, and classes on platforms like EventbriteEnsure doulas and baby nurses' certifications and training are up to dateMaintain and update client contact listsAttend quarterly doula meetings in BrooklynAssist in organizing and supporting charity initiatives we are involved withContribute to social media efforts (Facebook, Mailchimp, Instagram) if you have relevant experienceCandidate requirements:Fluent in English (German language skills are a plus)Exceptional customer service skills with a focus on professionalism and empathyProficiency in MS Office (Excel and Word)Hands-on experience with office equipment (e.g., scanners, printers)Strong attention to detail and excellent problem-solving abilitiesExcellent written and verbal communication skillsCreative and able to contribute ideas for improvementsExperience managing social media campaigns (Mailchimp, Facebook, Instagram) is a plusFlexibility with work hours, including availability for evenings and weekendsCaring, confidential, and empathetic approach to client interactionsKnowledge of the doula profession in the U.S. is preferredFamiliarity with New York City and its neighborhoods is a plusCompensation (contract1099 payment):$17-$20 per hour, with additional incentives based on successful business closureApplication Process:To apply, please email your resume and cover letter to Stephanie Heintzeler at info(at)thenewyorkbaby(dot)com.
