We're seeking a passionate and experienced Operations Specialist to join our team and make a significant impact on the lives of those in need of stable housing.The RoleThe Operations Specialist reports to the Operations Supervisor and focuses on managing repairs to ensure units are move-in ready. Key aspects of the role include coordinating with landlords and vendors, managing unit access, maintaining accurate records of repair activities, and ensuring compliance with internal policies and city regulations. The ideal candidate is highly organized, detail-oriented, and excels at relationship management to foster collaboration and ensure timely and compliant unit readiness.Key ResponsibilitiesOversee the entire repair process, ensuring timely progress, scheduling inspections for Anthos-completed repairs, and facilitating unit access by collecting keys and setting up lockboxes.Coordinate with landlords and vendors to ensure repairs meet inspection standards and compliance requirements.Track and update all repair-related activities and costs in Salesforce with accurate and timely data municate repair updates clearly and promptly to internal teams, ensuring smooth handoffs and alignment.Document completed repairs through photos, videos, and notes to support compliance and reporting.Source and maintain relationships with vendors, prioritizing Minority and Women-Owned Business Enterprises (MWBE).Ensure data integrity and accuracy in all tracking systemsMaintain confidential tenant and landlord files within our databaseDemonstrate adaptability in supporting various departmental needsQualificationsBachelor's degree andor 2+ years of experience in repairs coordination, property management, or operations. Familiarity with NYC housing regulations, including Housing Quality Standards (HQS), is highly desirable.Experience working with vendors and contractors, especially in coordinating repair work.Required SkillsAbility to manage complex priorities and meet deadlines in a fast-paced, deadline-driven environmentStrong communication skills, both written and verbalDetail-oriented and an effective problem-solverAbility to work independently and collaboratively as part of a teamDiscretion in handling confidential financial informationFamiliarity with the NYC housing market and voucher system a plusProficiency in MS Word, Excel, PowerPoint and SalesforcePassion for the mission of the organizationAbility to work in a diverse pensation and BenefitsCompetitive Pay: $65,000 - $70,000 salary range (dependent on experience)Hybrid work environment with 3 days in-office and occasional site visits to units for inspections or contractor prehensive benefits package including:Health, dental, and vision insurance401(k) with 4% employer matchGenerous paid time offSummer Fridays in AugustProfessional development opportunitiesWellness perks: Weekly yoga classes, Peloton and meditation app subscriptionsJoin Our TeamBe part of a mission-driven organization making a real difference in New York City.
