Sinai Hospital Klingenstein Pavillion OBGYN Job TypeTravel OfferingNon-Clinical ProfessionNon-Clinical SpecialtyAdmin Assistant Job ID30285779 Job TitleExecutive Assistant I Weekly Pay$1294.8 Shift Details ShiftDay - 8x5 - 09AM Scheduled Hours40 Job Order Details Start Date02172025 End Date05172025 Duration13 Week(s) Job Description Job Title: Executive Assistant I Job Specialty: Executive Support Job Duration: 13 months Shift: Monday-Friday, 9-5 pm Guaranteed Hours: 40 hours per week Experience: 7-10 years of related administrative or business experience License: NA Certifications: NA Must-Have: - Proficiency in MS Office Suite at an intermediate level - Bachelor's Degree or equivalent combination of experience and education - Bilingual proficiency in English (Read, Write, Speak) - Strong scheduling and phone management skills - Professional demeanor Job Description: - Provide overall support to a Vice President or Chair in a large or complex department. - Coordinate administrative activities for clinical, administrative, and academic departments. - Partner with management in planning, scheduling, coordination, and reporting of activities to ensure projects, goals, and objectives are accomplished on time and within budget. - Research, gather, and synthesize information for reports and assemble data for computation and statistical analysis. - Monitor budgets and grant allocations, maintain accruals, and prepare documents for balanced accounts. - Maintain departmental employee files and ensure compliance with regulatory standards. - Initiate and follow through on human resources and payroll transactions, including generating weekly payroll submissions. - Maintain liaison with human resources and payroll to coordinate and resolve issues. - Mentor, train, and conduct orientation for new office support staff, and monitor performance. - Coordinate administrative, secretarial, or general office support coverage. - Assign work, set deadlines, supervise the work of assigned staff, and participate in performance appraisals. - Assist in planning and logistical arrangements for forums, conferences, seminars, meetings, and visiting professorships. - Develop and coordinate informational packets for participants, and transcribe and distribute minutes. - Update and revise informational flyers, brochures, leaflets, and mailings. - Ensure all materials submitted for attention have relevant data, authorizations, and pertinent information included. - Ensure adequate restocking of supplies, requisition merchandise, and collaborate with Purchasing for equipment and supplies. - Track expiration of vendor contracts and renew as needed. - Coordinate meetings and appointments, maintain supervisor's calendar, and make travel arrangements. - Prepare travel reimbursements and expense reports. - Screen and prioritize incoming mail, respond or distribute as necessary, and screen telephone calls. - Assist with grant applications, special projects, and survey preparations. - Perform other related duties as required.
