Check out some highlights of our culture here. About the RoleIn this role, you will support our CEO, Sonia Millsom and 1-2 other Senior Leaders. You will be a part of a broader (amazing) Platform team that supports the business. We are an organization that prides itself on being entrepreneurial and flexible, and the role will evolve over time. Responsibilities for the role include, but are not limited to:Executive SupportManage complex calendar: Coordinate all internal and external meetings in a fast-paced environment, ensuring the people you support are prepared with relevant information. You will need to interact with clients and other stakeholders in this role.Book travel: Research, book, and coordinate executive travel (typically domestic), ensuring all documents are in place and relevant personal information is included; create itineraries and other systems as neededSupport administrative team: Help with overall office needs alongside the Platform team, including culture and team-building eventsProcess expenses: Coordinate with executives to appropriately categorize expenses through third-party provider (Expensify)Manage meetings: Thoughtfully plan and execute both internal and external meetingsPlan conferences and events: Help amplify our brand through the planning and execution of external conferences and eventsExecutive Search Project CoordinationSearch Coordination: This entails all administration for the projects that you are working across, including scheduling meetings and interfacing with clients and candidates, and understanding the priorities and needs of the project.Project Management:Keep the team and process on track, preparing the team for weekly client meetings and deliverables, and helping ensure we deliver an exceptional client experience.Client Deliverable Support: Use Google Suite to create accurate, high-quality client-facing documents. For example: business development materials, client retainers, position descriptions, search status presentations, and other important deliverablesRecord Upkeep:Relationships are at the center of our business. As part of your role, you will stay on top of updating candidate information, status of projects, and other data in our CRM database (Salesforce)Additional ProjectsEveryone at Oxeon is asked to take on special projects or roles - we all wear many hats and are quick to raise our hand to get involved. We spend time in-person in the NYC, Seattle, and Nashville offices 3 days per week (Tuesdays, Wednesdays, Thursdays) and are flexible Mondays and Fridays. Additionally, everyone has additional "work from anywhere" days, where they can choose to work remotely for extended periods of time.Quality time together.
