They will act as the primary resource for hiring managers and applicants, ensuring a seamless interviewing and onboarding process. This position helps organize, coordinate and carry out various human resources projects and processes. The Human Resources Coordinator will have firmwide responsibility thus occasional travel to our 6 offices may be required. This position is currently a hybrid role.Essential Duties and Responsibilities:Recruitment & OnboardingPartner with HR Generalist and hiring managers to understand staffing needs and develop recruitment strategiesCollaborate with hiring managers to develop and maintain accurate job descriptionsScreen resumes and conduct initial phone screens with qualified candidatesCoordinate interview schedules and manage all candidate communications throughout the recruitment processProcess background checks and prepare offer documentsFacilitate the onboarding process and ensure onboarding paperwork is completed; prepare orientation schedules for new employeesDevelop, maintain and update New Hire PacketsEstablish and maintain relationships with recruiting agenciesTrack recruitment metrics and generate analytics reports to measure program effectivenessHR & Administrative SupportManage HRIS (UKG) by processing changes, supporting system configurations, and remaining current on trainings for various modules. Ensure data in HRIS system is accurate and consistent with other firm databasesMaintain accurate and up to date personnel file database (PeopleDoc) and department filesProvide support for various department projects throughout the year, including supporting wellness program and initiatives and assist with planning and execution of employee recognition eventsFacilitate and track mandatory trainings through our online learning system (viDesktop), in accordance with applicable current lawsConduct periodic reviews of and update standard language in HR templates (offer letters, job postings, etc.)Collaborate with HR Generalist and managers during annual evaluation period to update job descriptions and draft job change lettersCommunicate HR policies, procedures, programs, and laws to firm personnelSupport preparation and facilitation of annual performance review processPrepare monthly and quarterly reports for managementProcess monthly expense reports in Emburse EnterpriseUpdate HR-related items on firm's intranetMaintain department Outlook calendars and firm intranet calendarUpdate and distribute phone lists and office floor plans as changes occurConduct office toursTake notes for bi-weekly HR department meetingsMay assist with payroll functionsEnsure compliance with federal, state, and local employment lawsProvide general clerical and operational support to department, draft memos and lettersPreserve high standards of confidentiality for all employee records and informationQualificationsMust have excellent written and verbal communication skills and the ability to effectively communicate with all levels of firm personnelSelf-starter, quick learner and good listenerAbility to work well in a team atmosphere and independently with minimal directionAbility to meet deadlines with flexibility to work with unexpected changesAbility to multi task and prioritize while working with minimum supervisionMust demonstrate good judgment and ability to maintain confidential informationEducation andor ExperienceBachelor's Degree in Human Resources or related field is required2 or more years of experience required, preferably in a professional services or legal environmentRecruitment experience requiredProficient in Microsoft Office and Windows applicationsMust possess understanding of Federal and State employment lawsKnowledge of legal hiring practices and hiring trends preferredExperience with UKG preferredExperience with using an ATS preferredOther DutiesPlease note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job. The anticipated base salary range for this full-time role is $55,000 - $85,000 per year. Actual salary will depend upon a number of factors, including, but not limited to, relevant experience, job-related skills, qualifications, and location. The base salary range displayed on the job posting reflects the estimated range for new hire salaries for the position. The actual offered base salary will be determined by work location and additional factors, including, but not limited to, relevant experience, job-related skills and qualifications. The pay range is subject to change at any time dependent on a variety of internal and external business factors.
