Every employee takes a person-centered approach that exemplifies the ICARE values (Integrity, Compassion, Accountability, Respect, and Excellence) through empathic communication and partnerships between all persons.Work Shifts8:00 A.M - 4:00 P.MJob DescriptionPurpose:Under the general supervision of the Assistant Director, with latitude for independent judgment and initiative, the Coordinating Manager B position is responsible for the daily coordination and processing of patients into the clinic services via Epic, insurance portal, template management and other tasks as required.Specific Duties and Responsibilities:The Coordinating Manager B is charged with and responsible for:Assist in advancing Press Ganey scores by treating all patients in a courteous and respectful manner with special regard to confidentiality. Verifies insurance and all demographic patient information via EPIC, EPACES, insurance portals, telephone or fax. provide patients with appointments in Epic (when applicable) to all clinics as needed. Educate patients on insurance, NYC Cares and Managed Care policies of South Brooklyn Health. If ineligible for insurance schedules patient to a financial counselor. Scan required proof of income, identification etc. into EPIC and follow-up to obtain any missing documentation. Process (open and close), as appropriate, visits for clinic sessions in Epic within prescribed timeframes. Register (Check in and check out) patients utilizing Epic.Pre-register patients via telephone to ensure quick check in at arrival. Maintain work list in Epic as appropriate, and reschedule patients as needed. Determine use of language line when necessary. Appropriately direct patients to other hospital services as needed. Full Registration through a comprehensive interview to obtain demographics, financial and insurance information to determine payer for Outpatient Medical Services. Functions include, but are not limited to, demographic updates, Advance Directives, PCP verificationupdate and obtaining of patient consents, completion of MSPQ. Scan obtained documents and identification into EPIC. Attend education sessions and demonstrate capability to provide technical expertisesupport to maintain proficiency of personnel. Demonstrate proficiency in back-up manual Registration and Scheduling systems for use during IT systems downtime.Addresses patient complaints, works with patient relations as needed.Perform End of Day EPIC tasks. Management of referral work queues, pools and in-basket messages for respective clinical areas. Management of patient forms requestsprescription refills requests and medical form logs. 20. Management of department inbound and outbound faxes.Assist with taking messages for Physicians as needed. Courteously and properly handle or refer all calls received.Perform & track Care Gaps patient outreach and coordination of care scheduling. ManagementMonitoring of department purchasing processes.Track & Maintain Provider away time as well as provide pertinent updates to department leadership.Coordinate & Communicate adult primary practice call schedule.Manage Physician Epic templates at the direction of department leadership.Coordinate department specific events.Must be able to work rotating shifts, evenings and weekends. Collect payment as necessary. Other duties as required. Minimum Qualifications1. A Master's degree from an accredited college or university in Public Health, Public Administration, Business Administration, Social Work, Psychology or Rehabilitation Counseling; and2. Two (2) years of full-time experience in medically-oriented health care and medical support systems environment, one (1) year of which included experience in an administrative or supervisory capacity in such occupations as physical, occupational, inhalation, speech and audiology therapy or as MedicalLaboratory Technologist, Microbiologist (various specialties), Chemist (biochemist), Radiation and X-Ray Technician; or two (2) years of responsible level experience in business management systems or general administration including one (1) year in a supervisory or administrative capacity; or3. A Baccalaureate degree from an accredited college or university in disciplines listed in "1" above; and4. Three (3) years of full-time experience, as described in "2" above, including two (2) years of experience in an administrative or supervisory capacity in occupations, as listed in "2" above; or5. A satisfactory equivalent combination of education, training andor experience.Note: Certification or licensure may be required.Department PreferencesCompetence in Epic Cadence, EPACES and insurance portals functions is necessary. Exceptional customer service skills required. Good organizational and time management skills required. Multi-tasker, detail oriented with excellent follow up skills and a proven ability to exercise initiative and judgement.
