This position is instrumental in defining the practice's mission, goals, budget, and performance standards while effectively communicating these objectives to the staff.As a key leader, the Practice Manager shapes the practice's culture, leadership philosophy, and business strategy. They are responsible for overseeing daily operations, optimizing efficiency, and ensuring the delivery of exceptional customer service to patients.Utilizing a deep understanding of organizational policies, procedures, and systems, the Practice Manager ensures the seamless functioning of the practice. Review no-show and cancellation reports daily. Collaborate with staff to reschedule patients and review charge entries for no-shows.Ensure a process is in place for recalls and ensure recalls are being entered into the system.Empower the team to provide high levels of customer service when answering phones and scheduling appointments. Provide continuous training on how to improve the scheduling process (if not outsource support).Staffing SchedulesEnsure staff has schedules for starting and ending their work shifts two weeks in advance.Provide timely staffing coverage.Monitor overtime and follow policy to ensure all overtime is pre-approved.Financials and BudgetReview monthly P & L for continuous improvement of revenue and expense opportunities.Collaborate with the physicians to develop strategies for continued revenue and profitability growth.Provide follow-up strategies to management for areas of opportunities.Review expenses thoroughly.Review order requests and make sure they are aligned with the municate any capex requests while following the capex policy.Responsible for managing and achieving clinic Key Performance Indicators.Participate in the development of the annual budget and ensure compliance.MarketingPartner with marketing to improve patient demand and maximize physician and provider schedules.Participate in outreach efforts and open house events.Review social media and provide suggestions for content.Serve as a liaison between clinic and marketing to ensure the marketing needs of the practice are being met and the marketing scope of work is municationProvide ongoing communication to the front office, back office, administrative, physician, and provider teams.Lead daily huddle meetings.Lead monthly staff meetings. Keep physicians and providers up to date with any communication and ask for feedback for the agenda.Provide minutes and action items to teams.Patient CareDevelop systems for the proper onboarding of new medical assistants to ensure patient safety is always at the forefront.Ensure proper training is provided for medical intake, notation, billing, and consent. Ensure excellent customer service is being provided to all patients.Recruitment Talent ManagementWork closely with Human Resources on recruitment efforts.Respond timely to any potential candidate from the time of application and interview.Demonstrate an ability to understand the business need for all positions, whether for additional staff or replacement staff. QualificationsEducation:Bachelor's Degree in Business preferred.QualificationsExperience:Direct the leadership, management, and culture-building experience for over 50 medical staff, including physicians, advanced practice providers, front office staff, MAs, accounting staff, and others.Five plus years of medical office management of a practice grossing > $15 million with more than 30 employees is required.Experience working in a dermatology practice is required.Prior cosmetic experience is required.Expert understanding of how to deliver, execute, hire, and train employees to deliver exceptional customer service.Supervisory experience in employee development, performance reviews, timecard management, and overtime management.Direct experience in conflict management, difficult conversations, talent management, and employee coaching.Experience in effective personnel management, including identifying staffing needs, identifying strong employee candidates, training staff, and delegating duties.Experience in developing vendor relationships.Excellent writing, editing, and proofing skills.Excellent listening, oral, and written communication skills.Consistent record of achieving and maintaining the practice's financial goals.Knowledge of EMR systems, Nextech preferred.Experience using technology to streamline workflows and improve efficiency.
