Job Summary The Construction Coordinator is responsible for all contract and subcontract administration, including project revenue and cost tracking. In a team-based environment, the Construction Coordinator will assist the Construction Managers with contract management, cost management, and documentation record keeping for all assigned projects. Substantial project accounting duties involved.Duties and Responsibilities:Contract Management:Assist the Construction Management Team with tracking all project documentation, including:Weekly Bid Imports into FJXNew Contract Setup Submittals & ChecklistFJX Contract and Job SetupProject-specific Certificates of InsuranceLabor Rate SheetsWorker VerificationSite Badging FormsChange Request Compilation and SubmittalsChange Order ManagementMonthly Pay Applications and Lien WaiversMonthly FJX Invoice creations and job cost verificationAccounts Receivable follow upContract Closeout SubmittalsIssuing AIA SubcontractsProcessing AIA Change Requests and Change OrdersCoordinating Construction Manager's approval for Subcontractor InvoicesRequest Subcontractor Invoices monthly for work performedReviewing and Releasing Subcontractor's payments weeklyRequesting and Maintaining waiver requests and check releasesCost Management:Fulfilling purchase order requests for installation materialsScheduling and tracking of all site requirement ordersrentalsMaintaining FJX's open purchase order board, including:Requesting missing vendor invoices for open POsUpdating purchasing orders with detailed costsFollowing through with open purchase order to completionMonitoring of complete project costsWeekly review of project status with Construction ManagersPerform other related duties as required and assignedContract Documentation Record Keeping:Creating and maintaining all bid and contract SharePoint filesMaintaining correct job details within FJXProject StartEnd DatesContract and Job StatusesUpkeep of current contract notesProject Manager Estimator JR PM contract updatesMaintaining all original, fully executed paper documentation, includingExecuted Contracts & Change OrdersExecuted Subcontracts, Change Orders & Lien WaiversPlease note this job description is not designed to cover or contain a comprehensive listing of activities, duties, or responsibilities required of the employee for this job.
