Job DescriptionTechnology company who specializes in e-commerce software and services is looking for an Executive Assistant (temp to hire) to support 3 C-level executives. It's an exciting time for them as they prepare to IPO soon. This position will involve managing complex schedules, coordinating meetings and travel, and acting as a liaison between the executives and internal & external stakeholders. Responsibilities: •Manage complex calendars for up to three executives, coordinating meetings, appointments, and travel arrangements. •Act as the primary point of contact between the executives and their internal partners and external stakeholders - managing correspondence & inquiries. •Prepare meeting agendas, briefing materials, and presentations to support the executives' decision-making processes. •Coordinate and organize events, including team meetings, offsites, and client engagements. •Handle expense reporting, budget tracking, and procurement of office supplies or resources as needed. •Ensure timely follow-up on action items, deadlines, and deliverables assigned to or by the executives. •Maintain accurate records and documentation, including meeting minutes, reports, and confidential files. •Anticipate the needs of the executives and proactively address potential challenges or conflicts in scheduling or priorities. •Collaborate with other administrative staff to ensure smooth office operations and coverage as needed. •Uphold the highest level of discretion and confidentiality when managing sensitive information.
