Title: School Administrative Assistant - Nixon Elementary School Reports to: Principal Position Summary: The School Administrative Assistant performs administrative assistant and clerical duties to support and facilitate the day-to-day operations and communications of the elementary school. Key Duties & Responsibilities: -Answers the telephone and takes messages; -Front desk receptionist; answers telephone calls and delivers messages; greets and directs children, parents, substitute teachers, and other visitors; -Monitors all visitors entering the building and oversees the security of the building entrance; ? Oversees use of public address system; -Filing; -Assists with school mailings; -Assists with recordkeeping requirements; -Collects and processes state-required CORI forms for staff, parents, and volunteers; ? Maintains student information including database, student records, class lists, State required mandatory testing scores and all documentation the State requires under the new regulations regarding student information; -Arranges orientation and registration meetings; works with school nurse to ensure immunization requirements; requests and maintains the student records; -Contacts parents for verification of student absences when necessary; -Processes student transfers; -Oversees daily attendance; organizes student dismissal list and produces daily attendance list; -Monitors student absentee call-in system, contacts parents for verification of student absences when necessary; -Performs routine clerical functions such as distributing mail and notices, filing, general word processing for building staff, and overseeing use and maintenance of office equipment; -Maintains master calendar of events for the school, working closely with different staff members and outside organizations; -Assists teachers with organization of field trips; -Coordinates with outside groups requesting use of school facilities; -Collects and organizes money for deposit by the parent organization; -Participates in safety & security programs; -Fields emails from outside regarding student attendance and directing parents; -Maintain school lost and found; -Makes all deliveries; -Performs other job-related duties as assigned by the Principal or designee. Qualifications: -Must be a high school graduate; associate degree preferred; -Prior administrative assistant experience preferred; -Must have prior experience (intermediate use) with Microsoft Office, Excel & Google Apps; ? Must have excellent verbal and written communication skills and strong interpersonal skills as heshe deals directly with the public on a daily basis; -Must be self-motivated, flexible, very well organized; -Must be detailed oriented, with analytical and problem solving skills, along with customer service abilities and other related characteristics; Classification: ESPAS Level 7 Unit Position Schedule: 1.0 FTE
