POSITION OVERVIEW:Department: OperationsReports to: Director of Finance Compensation: $55k-$58kEducationalDegree Requirement: None Exempt or Nonexempt: Exempt Hourly or Salaried: Salaried Hours Per Week: 40 Hybrid or On Site: Hybrid; Onsite minimum 3 days week Language proficiency: English. Proficiencyfamiliarity with another language is a plus but not required. Schedule: Monday-Friday 9-5POSITION SUMMARY:The Finance & Operations Associate is responsible for providing accounting and clerical support to the Director of Finance performing cash handling duties, processing accounts payablereceivable, monitoring and tracking space rental payments, and managing the payment process for Independent Contractors. The Finance & Operations Associate will work as a part of the Operations team and will collaborate in order to ensure that all accounting functions are managed properly. Accounts PayablePerform full-cycle AP duties to include ensuring proper coding and authorization.Work with managers to improve coding, accurately entering invoices into the AVID invoicing system, sending check batches on a as needed basis, contacting vendors when necessary to resolve problems.Reconcile AP data entry to Accounts payable General Ledger.Manage the payment process for independent contractors by ensuring contracts and other information is provided for documentation before issuing payment.Prepare year-end 1099's for independent contractors on an annual basisAccounts ReceivableReconcile and prepare cash drawer for several POS registers on a daily basis as well as create starting day cash bags for all registersReconcile AR data entry to Accounts Receivable General LedgerEnter data as necessary into various software systems and create deposits from all areas of the organizationBring deposits to bankAccounting Support:Assist in preparation of yearly budgets and upload into MIPPost monthly financial reports for all departmentsRecord month-end General Ledger transactions and gather necessary support for entriesEntering bi-weekly Payroll entry and monthly payroll accrualManage Fixed-Asset list and update at year endAssist in creating annual audit documentation and assist in yearly audit proceduresOffice Support:Manage office supplies and equipment repairpurchasesDistribute mail and manage postage for staffManage and distribute incoming packagesAssist at ASI programs and events as neededDiversity, equity, accessibility, and inclusionDiversity, equity, accessibility, and inclusion (DEIA) are core functions of all positions at ASI.
