Position Summary: The Legal Administrative Coordinator will work closely with the Legal Executive Assistant Supervisor to ensure the firm maintains the highest standard of administrative services. To that end, the role ensures LEAs are equipped with the technical skills, knowledge of legal procedures, and firm-specific practices necessary for exceptional performance to meet the firm's administrative needs.JOB RELATIONSHIPS:The Legal Administrative Coordinator will report to the Director of Legal Administrative Services, and will collaborate directly with the Legal Executive Assistant Supervisor and other departments to develop and deliver comprehensive training programs and provide daily support to the team.Duties & Responsibilities:This position will maintain a hybrid work schedule of at least 3 days in the office.Coordinate administrative projects efficiently and effectively.Assist the LEA Supervisor in managing coverage and phone support during planned and unplanned absences.Record PTO requests in the LEA coverage calendar and draft coverage emails to attorneys.Oversee the collection and entry of overtime slips, issuing weekly reminders to ensure timely plete AttorneyLEA assignment processes and procedures.Maintain and update internal department spreadsheets, lists and databases.Draft and distribute attorney new hire and departure announcements.Participate in meetings with the LEA Supervisor and Director, assisting with agenda preparation and note-taking.Maintain an inventory of attorney new hire materials, ensuring supplies are always stocked and readily available.Ensure LEAs are up to date on training related to key administrative responsibilities and firm-etiquette.Coordinate with technical trainer to facilitate necessary technical training for LEAs.Keep Director and LEA Supervisor informed of any potential issues and document concerns as needed; escalate disciplinary matters to the Director and LEA Supervisor when appropriate.Foster collaboration among the administrative support team across all practice groups.Provide daily floor support by addressing questions, troubleshooting issues, and promoting team morale.Offer recommendations for improving cluster operation and practice group center procedures. Engage regularly with the staff to develop strong and trusting relationships with all team members.Provide additional support as directed by the LEA Supervisor, which may include drafting correspondence, memos, document production, or other administrative tasks as assigned.Qualifications:Education: High school diploma required; college or business school preferred.Experience: At least 5 years of experience in a similar position in a legal or corporate environment is required.Skills and Abilities:Must be able to work proactively in a fast-paced and demanding environment and have the ability to prioritize a busy workload. Highly organized with exceptional attention to detail and an ability to manage multiple tasks and deliver quality results. Exhibit highest standards of professionalism and the ability to bring ideas and experience to tasks; possess excellent follow-through skills. A self-starter with ability to anticipate issues and resolve matters on their own. Ability to exercise good judgment, personal and professional discretion. Excellent communicationinterpersonal skills - able to interact with staff at all levels to assure successful outcomes. Self-motivated, proactive, punctual, reliable and a team player, exhibiting a willingness to help others. Flexibility with hours and scheduling; ability to work overtime, if necessary. Must be able to develop strong working relationships within and across multiple departments andor functions within the Firm. The actual salary offered will be based on a number of factors including but not limited to the qualifications of the applicant, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives andor from which they will be performing the job.New York Salary Range$75,000-$90,000 USD
