Driven by a firm belief that education is about much more than a formal classroom, we offer young people unparalleled cultural and learning experiences, giving them a window to a world of opportunity.Overview: As the Programme Coordinator you will serve as the key administrative functionary on site coordinating all aspects of a premium academic summer programme to ensure a positive experience by supporting the staff team and working with the host venue staff. Reporting directly to the Programme Director, the role manages the day to day running of the site office, core administration and information systems and is the key contact point with various stakeholders. This role is ideal for someone with strong communication, organization, and leadership skills, ideally with experience in event management or educational administration. As part of this role in addition to your duties during the session, you will be expected to complete 3 weeks work under the supervision of our Head Office.Key Responsibilities:Student SafetyAct as a positive role model for students, staff, and stakeholders, maintaining a consistent presence on and off campus.Manage the day to day student records, attendance and absences.Produce the relevant documents and risk assessments for the team to use for the daily activities and events.Support the Programme Director in the daily oversight of the site safety.Work closely with the venue teams on matters of health & safety.Consistently follow Oxford Royale Safeguarding policy and process.Oversee adherence with compliance guidelines.Representing Oxford Royale:Act as an approachable, empathetic, and confident figure when dealing with students, reporting challenges responsibly and with integrity to the Campus leadership team.Uphold the values of Oxford Royale in all interactions with internal and external stakeholders.Be responsive to parents and clients.Work closely with the host venue conference team on a daily basis to successfully communicate key information. Student Experience:Support the staff team by providing them with the information and equipment to successfully execute their roles. Be proactive and forward planning at all times to ensure changes to the timetable are limited and all parties are informed of any details of the event or activity.Plan and execute a professional and efficient welcome, programme, graduation and departure for all students on campus.Collaboration & Leadership:Work closely with the Programme Director, the wider staff team and Head Office. Maintain effective communication by promptly updating relevant teams on progress or changes.Collaborate with Head Office on room allocations for academic, social, and living aspects of the program.Work closely with the Head Office team to facilitate an effective setup and close down of the campus and serve as the liaison for all procurement and logistics needs.Administration & Compliance:Oversee the implementation of the student management system. Liaise with the Welfare Officer in any administrative needs.Collaborate on staff training records, ensuring updates are communicated to Head Office.Monitor the timely uploading of academic reports from staff, maintaining accurate and up-to-date records.Own the documentation folders ensuring that all records are stored appropriately and that the wider team has access to the relevant processes and guidance. Conduct Appraisals of direct managees.Assist the PD or APD in overseeing the full student records and incident reporting Support the PD or APD in tracking staff attendance throughout the programme.Position Details:Based at summer site at Barnard College, Columbia University.Approximately 40 hours per week across 6 days, including morning, afternoon, and night shifts.Mandatory training and campus setup before student arrivals (6 days during the week of June 23rd-29th)Salary: $25 hourly rate.Session Dates:Session 1: June 29th - July 12thSession 2: July 13th - July 26th Essential Qualifications ExperienceStrong administrative skills with attention to detail.Excellent communication skills, both written and verbal.Familiarity with health and safety protocols.A university degree.High level of IT proficiencyDemonstrated ability to lead teams and collaborate effectively.Ability to handle multiple tasks in a fast-paced environment.Desirable ExperienceFamiliarity with the host university.Knowledge of the international education industry and how residential courses operate.Understanding of safeguarding policies and procedures.Knowledge of database management or student information systems.Previous experience coordinating logistics for large groups.Understanding of the compliance needs and requirements in the State of the host University.
