GENERAL SUMMARYThis position works closely with and provides administrative support to the President, Government Programs and Ancillary ProductsEVP Sales and Account Management and VP Human Resources. Responsibilities include a range of duties that require promptly responding to shifting priorities, multitasking to manage workflow efficiently, and executing a variety of routine and complex administrative duties to support daily operations. This position also collaborates and partners constantly with the executive support team to synchronize schedules, coordinate cross-functional meetings and events aligned around organizational priorities. The position engages regularly and professionally with internal executive leadership and external stakeholders. The Executive Assistant works in the office 5 days a week. ESSENTIAL FUNCTIONS Anticipate evolving internal and external customer needs, and deliver proactive, high-level support that exceeds internal customer needsIn all aspects of job responsibilities, represent the company and internal customers in a manner that reflects professionalism and the company mission and culture.Demonstrate initiative, a strong work ethic, and a readiness to take ownership of tasks, approaching challenges with a solutions-focused mind.Maintain and handle highly sensitive information with the highest level of confidentiality. Assist in the preparation of highly confidential materials, PowerPoint, and other presentations.Monitor emails and mail to keep the President informed of priorities and high-importance communications, highlighting important and relevant information for immediate attention.Relentlessly prioritize availability, responsiveness and reliability.Deliver deep expertise and skills in software, including and not limited to PowerPoint and Word, and demonstrate initiative and leadership in achieving cross-functional resolution of internal customers' technology matters.Manage and maintain schedules by proactively managing complex calendars and remaining flexible to multiple changes.Manage responsibilities related to organizing meetings and other business initiatives. Duties include but are not limited to, set-up and clean-up of meeting rooms and making arrangements for mealscatering. Assist in organizing department events, training sessions, and conferences.Learn and understand the complexities of the Company and its Affiliates' business matters in order to relate messages within the proper context.Support the execution of high-priority projects and initiatives. Track progress on deliverables, monitor deadlines, and provide status updates. Conduct research and gather requested informationdata.Coordinate travel accommodations and itineraries - U.S. and international (flight, hotel, transportation, etc.). Update travel arrangements which may require working after business hours andor on weekends for logistical support.Ensure proper documentation and timely submission of all expenses and invoices utilizing the company's expense reporting system, Concur. Complete timely submission of company hours reported in the company's time management system, Harvest.Draft letters, emails, as well as proof correspondences. Maintain files, records, and databases.Ensure compliance with and support the implementation of company policies, procedures, programs, and initiatives.Assist in providing support for our Board of Directors meetings and related tasks, ifas needed.Serve as a backup for other executive assistants as needed to ensure seamless support across the executive leadership teamorganization.Other duties as assigned as well as willingness and flexibility when pulled into other projects outside of the immediate job description.This job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the team member. Visit for more information.The starting salary range for this position is $60,320.00 to $74,880.00. Salary offers will typically be made in the listed range. The Company takes into consideration a candidate's education, training, and experience, as well as the position's work location, expected quality and quantity of work, required travel (if any), external market and internal value, including merit process and internal pay alignment when determining the salary for potential new team members.
