State College Blvd Fullerton, CAJob Type: Full-timeJob Number: 03513Department: Office of Sponsored ProgramsOpening Date: 01102025Closing Date: ContinuousUnder the general direction of the Senior Director of Sponsored Programs, the Associate Director of Sponsored Programs will provide professional level support for the California State University, Fullerton faculty, and staff. Provides post-award administration from the account set up to project director orientation, project budgeting, cost match reporting, over-seeing funding expendituresactivities to ensure compliance with sponsor agency terms and conditions, financial reporting and project close out. Supervise sponsored programs administrators and students staff. Essential Duties Supports the strategic direction of sponsored programs by aligning operations with institutional goals. Recommends and assists in implementing improvements to enhance the efficiency and effectiveness of sponsored programs.Evaluate the performance of sponsored programs and deliver reports to senior management on funding activities, compliance matters, and other critical metricsServes as the primary liaison between auditors and the institution, facilitating access to required documents, offering clarifications, and ensuring efficient execution of audit activitiesIndependently performs such professional duties as, analyze program requirements, reconciles and closes accounts, prepare financial reports, interpret and provide guidance on grantcontract terms and conditions, assist and interpret sponsor guidelines, assists with policies and practices development. Must have a good working relationship with various campus and Auxiliary Services departments as well as a good understanding of the reasoning behind the operating procedures of these departments to positively interpret the procedures to the Project Director(s).The position goes beyond the fulfillment of basic regulatory and procedural requirements. Emphasis is on giving positive attention to serving the needs of the Project Directors and sponsors while acting in the best interest of the University. Must be able to handle multiple projects simultaneously and be able to prioritize work and consistently meet deadlines. Ability to maintain cooperative working relations with a wide range of representatives of government agencies, Project Directors and the University and Auxiliary Services departments is required.Supervises Sponsored Programs Administrators, and Student Assistant(s). Conducts written performance evaluation including coaching and disciplinary action accordingly. Serves as the primary contact person for Office of Sponsored Programs (OSP) staff on questions regarding project administration.Assists the Senior Director of Sponsored Programs with the recruitment of new OSP municates updates of OSP policies and other information relevant to Sponsored Programs to OSP staff. Provides training to new staff on Sponsored Programs administration and reporting requirements.Full management and accountability for all functions within the Office of Sponsored Programs, including timely invoicing of sponsors, financial project reporting, expenditure allowability, and efficient departmental systems operations.Working with the Senior Director of Sponsored Programs on the formulation of departmental goals, setting priorities, and insuring timely performance of department tasks and functions.Recommending changes to enhance and improve efficiency and effectiveness in operations. This shall include at a minimum, good internal control.OTHER FUNCTIONS: Perform other duties as assignedrequired. Ability to perform the full range of sponsored program oversight with only minimal supervision. Qualifications Minimum seven (7) years of progressively responsible, professional experience in a research education services function within an institution of higher education or research foundation serving higher education or other closely related experience, including supervisory and post-award administration.Strong organizational skillsExperience using computerized databases Ability to clearly express ideas or positions effectively both orally and in writingThe capacity to function effectively and calmly in difficult situations which require a high degree of tact and diplomacyA high degree of flexibility and analytical skills required. EDUCATION:Minimum Bachelor's Degree, preferably in Business Administration with a concentration in Management or Accounting.PHYSICAL DEMANDS:Lifting of up to 25lbs.; periodic bending; long-term periods of sitting; long term periods operating a computer.
