Salary: $58,604.00 AnnuallyLocation : Media, PAJob Type: Full-TimeJob Number: 202300343Department: Public DefenderOpening Date: 01302025 SummaryThe Executive Assistant directly supports the Public Defender and First Assistant by performing core administrative and project-related tasks. The Executive Assistant carries out the duties necessary to keep the Office of the Public Defender in compliance with the County requirements regarding purchasing, time record keeping, risk management, and Accountability to our bargaining and non-bargaining employees. Essential Duties Under the direction of the Public Defender, the Executive Assistant:Receive, process, and maintain all timekeeping and attendance information from OPD staff.Manage the business processes of the OPD including all time and accounting processes in SAP or Workday.Help manage the onboarding and off boarding of OPD employees, serving as the liaison to the Human Resource department.Prepare and maintain budget reports.Manage office supply inventory, processing purchase requisitions, check requests, etc.Manage payments of invoices to all OPD external vendors and internal expense report payments to OPD municate with all County departments to facilitate OPD business processes.Prepare and send invoices to other counties for public defense services rendered.Coordinate with landlord, county, and outside vendors to address the maintenance needs of the office. Performs other duties as assigned by the executive management team. Qualifications High school graduate or equivalentAbility to retain the confidentiality of client and employee information Prior office experience requiredPrior legal office experience preferredStrong computer skills, including Microsoft Office and Excel, requiredExperience with time management andor accounts payable databases preferredExcellent verbal and written communication skills Ability to work well with others and willingness to support co-workersAble to multitask, prioritize, and manage time efficientlyExcellent customer serviceAlignment with the office's mission of providing legal representation to people accused of crimes who cannot afford attorneys is highly valued.Fast learners with a problem-solving, proactive, and positive approach to work are encouraged to apply even if they do not possess the preferred qualifications listed above.
