The firm has an immediate opening for an Executive Assistant in the Litigation department to join our New York office. This role will support both partners and associates in the Employment Litigation group. The ability to handle confidential information with the utmost discretion is critical to success in this role.This role is available as a hybrid work schedule.Responsibilities:Interface with clients, firm resources, and vendors on attorneys' behalfBook travelProcess expensesManage calendars and schedulingPrepare engagement letters, open new matters, interface with New Business and ConflictsPrepare basic correspondence such as client letters and memosPrepare documents (creating, proofreading, revising, editingred-lining, shells of legal documents)Coordinate all aspects of internal and external meetings, depositions, mediations, etc. (conference room reservations, catering, adding guests to visitor list, etc.)Enter, edit, release, and revise attorney time entriesInterface with finance and assist with billingSet up and maintain document workspaces and serve as file keeper for case mattersManage email distribution lists for teams and contact information for clients and vendorsMaintain list of court loginpasswords and keep admissions up to dateMaintain memberships of bar associations, CLE credits and dues, etc.Serve discovery and other substantive mailingssubmissionsOrder Certificates of Good Standing for Pro Hac ViceAssist with hearing and trial logisticsHandle printing, copying, and binder creationProcess vendor invoicesPrepare audit lettersE-filing experience in state and federal courts is preferredQualifications:5+ years of litigation experience within a law firm requiredBachelor's degree requiredStrong attention to detail, follow-up, and excellent organizational skills, with the ability to effectively prioritize tasksAbility to treat sensitiveconfidential information with appropriate discretionStrong sense of urgency, accountability, flexibility, and resourcefulnessAbility to function professionally under pressure, while managing multiple concurrent tasks and deadlinesMust possess tact, discretion, good judgement, and act with integrity in all situationsExcellent interpersonal, written, and verbal communication skillsExcellent computer proficiency (MS Office - Word, Excel, and Outlook)Excellent file management skillsAbility to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practicesAbility to work overtime as neededThe primary location for this job posting is in New York. The actual base pay offered will depend upon a variety of factors, including but not limited to the selected candidate's qualifications, years of relevant experience, level of education, professional certifications and licenses, and work location. The anticipated pay range for this position is as follows: $42.00 - $56.82 per hour.The compensation for this position may include overtime and a discretionary year-end merit bonus based on performance.
