This is a hybrid role based out of our New York City headquarters.What you will do:Reporting to the Manager of Federal Awards, the Senior Grants and Contracts Administrator manages all phases of grants and contracts process; establishes and measures performance standards, manages workflows and effectively communicates progress of grants and contracts. The position provides expertise related to subgrants and subcontracts and ensures that CSH and recipients of pass-through funds comply with federal, state and other financial and administrative requirements. Specific responsibilities include:Subgrants and subcontracts:Ensure CSH and recipients of pass-through funds comply with federal, state, and other financial and administrative requirements.Maintain electronic files for sub grants and subcontracts awarded by CSH, including the underwriting of sub grants using approved forms.Oversee the subgrant and subcontract procurements and ensure compliance with funding requirements and provide guidance to internal stakeholders on compliance matters and best practices.Maintain subcontract schedule (encumbrances) and review disbursement requests against subcontracts to ensure that an executed agreement is on file that such requests agree with allocated encumbrances, and that such requests follow funder requirements; investigate and resolve discrepancies.Record the expenses related to subgrants and subcontracts into the general ledger in a timely manner.Perform sub recipient management and monitoring in compliance with the Uniform Administrative Requirements, Cost Principles, and Audit Requirements for Federal Awards; OMB Circulars, and other applicable regulations or restrictions, including site visits and desk audits.Awards: Review funding award terms and conditions with regional and national program staff to ensure that funds are expended in compliance with the applicable terms and conditions. Work with CSH's General Counsel on grant and contract language to ensure compliance with funding agreements and best practices as necessary.Maintain necessary schedules and relevant backup to ensure the accuracy of the grants payable information contained in the general ledger. Reconcile the grants payable subsidiary ledger to the general ledger accounts monthly.Review commitments made by CSH staff against funding award agreements and budgets as specified by award documentation.Provide data related to grants and contracts to the Manager, Financial Reporting Analyst and works with them on grant and contract reporting and billing.Serve as liaison to program offices, providing pre-award, award and post-award coaching, guidance and support.Additional Duties:Effectively collaborates with finance staff on tasks related to pass-through disbursements, month-end and year-end closing, monitoring project financials, developing budgets and forecasting.Maintain impact and other metric data and ensure its quality.Monitor changes to federal regulation and industry best practices and advise on current or emergent compliance concerns.Co-lead systems and business process improvement projects and completing tasks assigned by the Manager of Federal Awards as needed.Develop and enhance policies and procedures.How we work:CSH staff are adaptable, entrepreneurial, creative, and flexible problem-solvers. You should share a passion for the CSH mission and possess the skills to meet the expectations of this role to help shape how we share our ambitious mission.Specifically, we are seeking:Five plus years' experience administrating municipal, state and federal contracts, experience with contracts administration, subcontracting and contract review.Knowledge and the ability to apply government regulations, cost principles and administrative requirements to grants and contracts.Strong analytical, problem-solving, interpersonal, presentation, and written and verbal communication skills.Bachelor's degree preferred; equivalent experience may substitute for education.Excellent analytical skills and attention to detail.CSH uses a Microsoft Office environment. Proficiency in using Microsoft Office Suite including Word, Excel Power Point and Outlook is required.Experience using NetSuite, or similar accounting software strongly preferred.Knowledge of nonprofit accounting compliance is a strong plus.Project management skills and has experience using technologies related to grants and contracts management.Candidates seeking to work remotely or hybrid must provide their own access to a secure high-speed internet signal (preferably hard wired) at a capacity sufficient to support video, web, and email processing simultaneously based on their personal work environment. This is typically 100Mb and above.Travel is expected for purposes of sub recipient monitoringsite pensation: CSH offers generous benefits, opportunities for professional growth, and competitive salaries based on geographic location. Our range for Senior Grants and Contracts Administrator in New York City is $96,000-$120,000. Our ranges are broad, and it is customary for candidates to join CSH at the lower half of the range to leave room for growth, learning, and development in the role and range. It is uncommon for starting salaries to fall above the mid-point. We negotiate actual salaries with final candidates based on their exact location, experience in similar roles, and expertise related to the qualifications.
