Handle all telephone inquiries and reservations accurately and efficiently by answering the telephones courteously, promptly, and professionally while promoting hotel services and ensuring maximum room revenues.SCOPE OF WORK + TEAMReports to the Reservations ManagerSupports Front Desk and special events teamRESPONSIBILITIES Answer telephone promptly and courteously. Enter guest reservations into the computer system quickly and accurately segmenting reservations into the appropriate category while using the hotel's selling strategy and knowledge of all rates, package plans and hotel services, in order to close out sale and upsell the hotel as appropriate.Maintain good relations with all guests and know and implement procedures for giving special attention to VIPs and Special PromotionsMaintain a working knowledge of the sales and front office areas, credit policy, different room types and hotel servicesMonitor, sell, report closely and attempt to obtain alternate date reservations for all closed out dates by utilizing the wait list.Review group cover sheets to ensure accuracy and enter information into the computer system.Change and cancel reservations as guest requests. When canceling a reservation with deposit, complete an advance deposit refund requisition and process no-shows.Take reservations for suites, properly filling in necessary information following credit policy. Block rooms accordingly and distribute worksheet to departments involved.Report rate resistance and all problems to Dir. Transient Sales.Do a competition call aroundCheck and reply to any guest e-mailPut together all packagesPlace confirmations to be mailed out in envelopes attaching appropriate forms and information.Keeps block arrangements secure for group bookings.Handles changes and cancellations and appraises desk of same.QualificationsEXPERIENCE:Prior Experience:1+ Previous data entry and telephone experience working in a HotelHospitalityenvironment required.IT Expertise: Advanced knowledge of computer software (including Microsoft Office, outlook) and web analytics tools is preferred.Education: High School diploma or GED required; college degree preferred.Subject Expertise: Must possess telephone communications skills in terms of the ability to negotiate, convince, sell and influence potential hotel guests. Ability to operate a computer.Demonstrate a working knowledge of all property safety and security procedures as required maintaining a secure and safe environment for employees as well as guests.Report any unusual occurrences andor request to Supervisor.Read and abide by all the regulations and rules of conduct stated in the Associate Handbook.Must be service oriented with excellent customer service and sales skillsMust be able to effectively communicate to guests, management, and coworkers and read, write and understand the English languageMust be energetic and outgoingMust have excellent customer service skillsMust possess excellent interpersonal and organizational skillsMust be able to follow directions with attention to detail, speed and accuracyMust be a team player with the ability to work under minimal supervisionMust be able to multi-task in a fast-paced work environmentMust be able to understand and work with basic financial information and solve basic arithmetic problemsMust be able to type 45 wpm and have the ability to input data and access information on the computerMust have proficient working knowledge of Microsoft Office, Opera; preferred.Must be able to exercise confidentiality and discretion.OTHER EXPECTATIONS: Abide by payroll policies, procedures and rules of conduct as stated in the Springboard Hospitality Associate Handbook.Demonstrate a working knowledge of all company safety and security procedures.Travel required: As needed for hotel familiarization, content creation shoots and to meet with colleagues.Hours Required: Must primarily work during Springboard Hospitality business hours, Monday - Friday 8am - 5pm (PST), while understanding that the hotel business functions 247 and some weekend or holiday work may occasionally be required.Benefits:Springboard Hospitality offers an empowered working environment that encourages collaboration and flexibility.
