As the first face visitors see and the go-to person for our team's daily needs, you'll create an environment where creativity and productivity thrive. From managing confidential documents to coordinating team experiences, your attention to detail and proactive approach will ensure our workplace supports our team's best work.Check out our Suno version of the job here!What You'll DoAdministrative Management:Process and maintain NDAs, waivers, and contractsManage employee records including directory and emergency contact formsCoordinate travel arrangements for non-executive staff, new hires, and guestsHandle outgoing package shipmentsScan and distribute incoming mail to appropriate teamsManage digital and physical filing systemsServe as primary point of contact for vendors and service providersOffice Operations & Facilities:Oversee office maintenance and promptly address facility issuesMaintain daily office cleanliness and organizationManage security system including badges and camera monitoringProvide plant care and maintenance throughout the officeMonitor and stock foodbeverage suppliesCoordinate daily lunch catering including setup, service, and cleanupMaintain office supply inventoryProcess incoming and outgoing mailpackagesManage guest and visitor access, including registration with building securityOversee AV systems setup and troubleshootingCoordinate device procurement and inventoryTeam Experience:Plan and execute team events and activitiesCreate a welcoming environment for employees and visitorsSupport office culture initiativesManage weekly team lunch programAssist with new hire onboarding administrationWhat You'll Need2-3 years of experience in office management or facilities coordinationStrong organizational and multitasking abilitiesExcellent interpersonal and communication skillsExperience managing vendor relationshipsProficiency with office management software and digital toolsProblem-solving mindset with ability to work independentlyDetail-oriented approach with a proactive attitudeComfort with dynamic environments and changing prioritiesA love of music is a huge plusAdditional Notes:This is an onsite role based in Chelsea, New YorkApplicants must be eligible to work in the USCompensation: This role will be expected to work 25-30 hours per week, 5 days a week, with an expected hourly rate of $30-40 per hour
