Job Description SummaryThis position reports to the Chief Financial Officer and Vice President of FinanceController. Under general supervision, position is responsible for managing significant Company programs and is the primary liaison with employees utilizing those programs. This position is also the primary liaison with facility landlords and vendors servicing WGFC office locations, including oversight to ensure the safety and comfort of employees and compliance with business-related taxes and ordinances. May also perform various administrative business and accounting activities necessary to support the Accounting, Finance, and Treasury functions. QualificationsBABS degree or a combination of training, education, and experience that is equivalent and 5-7 plus years of related professional experience that provides the required knowledge and abilities to competently perform the duties and responsibilities preferred.Experience managing a corporate office environment including small satellite locations, and multiple entities for approximately 450 employees.Excellent written and verbal communication skills, including the capability to express thoughts clearly in both oral and written communication, and a friendly, service-oriented attitude with the ability to establish and maintain effective working relationships with others at all levels of the organization and external constituents.Professional demeanor and ability to maintain confidences in dealing with all internal and external contacts. Must be able to exercise a large degree of independent judgment, discretion, and common sense in performing duties assigned and making decisions in the moment.Excellent ability to take the initiative and apply critical thinking skills with attention to detail.Excellent organizational and analytical skills to be able to handle multiple tasks in a fast-paced environment, including time and project management skills to stay on target with expected goals, dates, and milestones.Problem solver with the ability to be resourceful, think proactively, and anticipate the needs of the CFO, VP of Finance, and other departmental or company needs.Proficient end-user computer skills with Microsoft Office and Adobe applications.An understanding of basic accounting principles and terminology.Duties And ResponsibilitiesCorporate Programs AdministratorAdministrator of the Company's credit card program for all cardholders, including card profile set up, issuance and terminations, data management and report generation, and monitoring and educating for adherence to Company program rules and guidelines.Program Administrator for the corporate travel program, including administrator responsibility for the WGFC's Travel Management Company (TMC) relationship, currently Navan, including maintenance of Company policy within the software platform, working with senior management and department heads, establishing individual user profiles, and conducting employee training; manage purchasing card usage, where appropriate, and guest booking arrangements for non-employees.Manage the Company's cell phone program including related functions of activation, usage, troubleshooting, termination, replacements and repairs of cell phones. Must have the ability to objectively evaluate the effectiveness of the vendor and negotiate changes to rates and charges when appropriate.Responsible for managing WG's office supplies vendor program, including field offices and work-from-home employees, maintaining user profiles, providing support for escalated purchasing issues, invoice discrepancies, returns, and online training issues; company contact for ordering all toner cartridges through WG's resale vendor.Responsible for managing WG's offsite storage vendor, including inventory indexing and record keeping, file storage and retrieval on behalf of all WG entities and departments, and periodic reviews for compliance with WG's documentdestruction parameters.Facilities OperationsFirst point of contact for facility related issues experienced by employees at all WGFC locations.Conduct periodic facility inspections and take appropriate actions to ensure office and building conditions are up to standards and expectations set by WGFC's senior management team.Working with Human Resources and Legal, ensure compliance with health and safety standards and industry codes; oversee facility environmental health and safety.Establish and maintain relationships with landlords and property managers of all leased facilities.Maintain a schedule of lease terms, rental rates, CAM charges, and renewal or expiration dates.Establish and maintain relationships with local vendors for each facility geographic area who can be business partners for any required building or equipment maintenance and repair needs.Ensure compliance with local taxes assessed, including prompt payment of all business tax licenses and permits.Participate in WGFC's Safety Committee, including attending meetings and fulfilling tasks born out of needs identified and assessed there.OtherUtilize all capabilities to satisfy one mission - to enhance the competitiveness and profitability of our members.
