Interact with travel agent to secure arrangements & reservationsTrack and transfer travel awards pointsCoordinate Ground transportation, greeters, dinner and other activities during travelCreate and Manage travel Itineraries. This position must be on call while he is travelingOrganize and update passports, licenses, global entry, and all travel accountsPrepare, maintain, and update executive bios and headshotsManage and organize the executives contactsScreen incoming telephone calls; take and deliver accurate message.Respond to requests by gathering and providing informationSustain multiple daily calendars of meetings and events: Professional and PersonalCreate, schedule and confirm Zoom meetingsBe responsive to emailstextsphone calls with contact outside normal business hoursAct as gatekeeper: Manage staff and guests visitsGreet incoming guests and situate them in appropriate conference roomsOrganize all Tony Voter ticketing for the COOSubmit and track medical claims, EOB's and reimbursements for the COO and his familyMaintain Medical testing and vaccination records for the COO and his familySecure and update password login and account informationOrganize Show FilesOpen and Organize incoming and outgoing mailMaintain vehicle insurance, parking, registrations, and other requirementsPrepare monthly expense reports for the COOPerforms additional duties as assignedAssist with additional personal tasks as needed
