We are conducting a search for an experienced Legal Administrative Assistant with Defense Litigation experience for a law firm based in New York.The ideal candidate will perform administrative assistant responsibilities such as transcribing and preparing as well as serving pleadings, discovery demandsresponses and motions, transcribing and uploading client reports and memoranda and communicating with outside counsel. This position requires defense litigation experience and knowledge of litigation processes including filing procedures in state (New York and New Jersey) and federal courts (e-filing). Using excellent time management skills and providing quick turnaround of documents while ensuring accuracy of documentation is essential.What You'll Do:Provide high level administrative litigation support to multiple attorneysTranscribing and typing correspondence, memoranda and legal formsProofreading and ensuring quality of legal documents (formatting, using templates etc.)Respond to a high volume of phone calls; transmit messages accurately and promptlyMaintain organized and updated litigation files and billing filesMaintain updated matter and client listsMaintain calendars and schedule appointments, meetings and conference callsReview and prepare new client matter formsProcess check requests and expense reimbursementsProcess incoming and outgoing mailDocument scanning, profiling and retrievalAssemble deposition prep andor trial prep bindersRetrieve public documents andor filings omCompare (RedlineBlackline) documentsPerform other additional administrative duties as neededWhat You'll Bring:Minimum 5 years of legal experience as a Legal Administrative AssistantDefense litigation experience required, Medical Malpractice experience is a plusBachelor's degree is a plusMust be efficient in document production and accuracyMust have intermediate to advanced skills in Microsoft Word, Outlook, PDF-A, Excel and PowerPoint, including advanced skills in the use of TOCs, TOAs and stylesExperience using traditional and digital methods of dictationMust exhibit well-developed interpersonal and client relation skillsExceptional verbal and written communication skills requiredMilitary experience welcome
