Job DescriptionJob DescriptionWe are looking for a detail-oriented Administrative Assistant to join our team. This Contract-to-permanent position involves providing comprehensive clerical and administrative support to ensure the smooth functioning of an assigned department. The ideal candidate will possess strong organizational skills and the ability to perform tasks with increasing independence over time.Responsibilities: Prepare, proofread, and process various documents, including correspondence and reports. Perform general clerical duties such as maintaining records, verifying data accuracy, and resolving discrepancies. Organize and manage the distribution of incoming and outgoing correspondence, ensuring timely delivery. Research and compile statistical and financial data to create reports and maintain accurate records. Utilize standard office software for word processing, spreadsheets, and presentations. Coordinate schedules and appointments while managing calendar updates. Apply departmental policies to determine applicant eligibility for permits or classes, process fees, and issue necessary forms. Communicate effectively in both written and verbal formats with internal and external stakeholders. Minimum of 3 years of administrative or clerical experience. Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint. Strong data entry skills with a focus on accuracy and efficiency. Ability to handle inbound and outbound calls professionally. Experience scheduling appointments and managing calendars. Exceptional customer service and email correspondence skills. Bilingual proficiency in Spanish is required.
