Job DescriptionJob DescriptionWe are looking for an organized and meticulous Sales Support Coordinator team member to join our team in Grand Junction, Michigan. In this role, you will play a pivotal part in maintaining smooth operations within our sales department, focusing on order coordination, customer communication, and inventory management. This is a long-term contract position in the agriculture industry, offering a dynamic and fast-paced work environment. This role is M-F 8am-5pm.Daily and Ongoing Responsibilities for the RoleDaily TasksOrder Processing:Enter new orders promptly into the system.Process and manage manual orders received via email.Error Resolution:Address any rejections from the prior nights orders.Customer Communication:Notify customers of prorations or delays as needed.Delivery Scheduling Support:Assist the transportation team in resolving delivery appointment scheduling issues. Pricing Management:Biweekly Pricing Updates:Enter new tenders into the PTP portal biweekly, ensuring accuracy for all details (FOB cost, LTL/FTL Delivered costs, loading locations, pallet configuration, and transit time).Forward Pricing Review:Quote and update FOB pricing weekly based on forward pricing received.Negotiation Edits:Implement agreed pricing or other changes in PTP following biweekly negotiation calls.Internal Reference Updates:Continuously update the Pricing Cheat Sheet Google Doc with accurate and current pricing for quick internal reference.Accounting Support:Weekly P& C & Aging Reports Review:Identify and resolve issues in weekly Problems and Consignments (P& C) and Aging reports.Proactively work on clearing open orders and address any discrepancies.Accounting Team Collaboration:Participate in weekly accounting discussions to address open orders with outstanding issues.Demand Planning (DP):Tier 1 Account Management:Keep the DP Tracker Report current on a weekly basis to reflect up-to-date orders and revisions to customer projections.Customer Projections:Ensure ALL customer AD projections are accurately incorporated into the demand planning process.Red Flag Follow-Up:Collaborate with Account Managers weekly to discuss red flags and implement necessary changes to meet current customer expectations. Minimum of an associate degree; a bachelors degree is preferred. At least 2 years of experience in an office or produce-related environment, with 3+ years preferred. Proficiency in Microsoft Outlook, Excel, PowerPoint, and Word is essential. Familiarity with ERP systems, CPQ, and CRM tools is highly desirable. Strong verbal and written communication skills to effectively collaborate with team members and customers. Ability to work independently while thriving in a team-oriented setting. Exceptional organizational and time-management skills, with the ability to handle multiple tasks in a fast-paced environment. Knowledge of the produce industry is an advantage but not required.Responsibilities: Manage order coordination, including entry, tracking, and customer communication for updates and confirmations. Maintain consistent communication with coolers to address changes and ensure seamless operations. Handle claims, collections, and consignment closures efficiently within internal systems. Oversee I-Trade, Foodlink, and other transactional processes to ensure compliance and accuracy. Coordinate inventory updates and order management between growers and the cooler network on a daily and weekly basis. Provide support to account managers by assisting with customer interactions and communications. Ensure accurate record-keeping and maintain organized files for all sales-related activities.
